Job Summary
We are looking for a proactive and detail-oriented Sales Coordinator (Back Office) to manage backend sales coordination, enquiry handling, quotation submission, commercial follow-ups, and order processing activities.
The candidate will coordinate the complete sales cycle from enquiry generation to order confirmation by handling customer communication, commercial offers, negotiation follow-ups, and internal coordination with different departments.
This role primarily involves handling the complete backend sales workflow:
Enquiry → Offer Submission → Follow-Up / Chase-Up → Negotiation Coordination → Offer Review etc.
Key Responsibilities
1. Sales Process Coordination
- Manage complete backend sales coordination activities from enquiry stage to order closure
- Handle enquiries received through digital business channels and online business platforms
- Understand customer requirements and coordinate internally for pricing, specifications, and product details
- Coordinate quotation preparation, commercial offers, and offer submissions
- Conduct regular follow-ups (chase-up) with customers regarding submitted quotations and offers
- Coordinate negotiation discussions and commercial revisions with internal departments
- Maintain proper tracking of enquiry status, Won/Lost reports, and sales pipeline updates
2. Commercial & Order Coordination
- Coordinate PO acceptance and draft approval process
- Handle Proforma Invoice (PI), Credit terms, LC documentation, and payment coordination
- Support order processing and commercial documentation activities
- Coordinate with internal teams for smooth order execution and customer support
- Maintain proper records of quotations, commercial approvals, and order documents
3. Client Communication & Relationship Management
- Maintain professional communication with customers regarding enquiries, offers, negotiations, and order updates
- Respond to client queries in a timely and professional manner
- Coordinate with existing and new customers for sales-related requirements
- Build and maintain strong business communication with clients
4. Documentation & Reporting
- Maintain enquiry trackers, quotation records, and sales reports in MS Excel
- Prepare daily/weekly follow-up reports and status updates
- Maintain organized documentation of customer interactions and commercial communications
- Ensure proper reporting and record maintenance for backend sales operations
Technical Competencies
- Basic understanding of backend sales coordination and commercial sales process
- Knowledge of quotation preparation and commercial documentation
- Familiarity with enquiry management and customer coordination
- Good working knowledge of MS Excel and reporting tools
- Understanding of industrial/B2B sales coordination process will be preferred
