We are looking for a creative, detail-driven Purchase Coordinator who can blend an eye for design with sharp procurement skills. If you can walk into a space, imagine what lighting should live there, and then find the vendor who makes it — this role is for you.
Key Result Areas (KRA)
- Product Scouting — Proactively discover new, trend-forward decorative lighting products from global and domestic markets.
- New Brand Scouting — Continuously identify and evaluate emerging and niche lighting brands — local artisans, boutique manufacturers, and international labels not yet in the market.
- Brand Tie-Up & Partnerships — Initiate and close formal tie-ups with brands and manufacturers; negotiate dealership, exclusivity, or preferred supplier agreements.
- Vendor Negotiation — Drive price negotiations, payment terms, lead time commitments, and volume discounts with existing and new vendors.
- Vendor Development — Build and expand a strong network of creative lighting vendors; onboard new suppliers aligned to project needs.
- Purchase Order Management — Generate and track POs accurately, ensuring timely approvals, pricing accuracy, and documentation compliance.
- Logistics & Delivery — Coordinate end-to-end delivery — dispatch, transit tracking, receiving, and site delivery confirmations.
- Payment Coordination — Manage vendor payment cycles, advance requests, credit terms, and reconciliation with the accounts team.
- Project-Based Sourcing — Align product sourcing with specific interior and design project requirements, mood boards, and timelines.
Roles & Responsibilities
- Scout and research new decorative lighting products — pendants, chandeliers, wall sconces, bespoke fixtures — from exhibitions, trade fairs, online platforms, and direct manufacturer visits.
- Actively identify and evaluate new and emerging lighting brands — startups, independent designers, regional manufacturers, and international labels — and assess their fit for the company's portfolio.
- Initiate brand tie-ups and partnership discussions; work towards formalizing agreements covering pricing, exclusivity, credit terms, and supply commitments.
- Lead vendor negotiations to secure the best pricing, payment flexibility, delivery timelines, and after-sales support — without compromising on product quality.
- Identify and develop alternative/new vendors that offer unique, design-forward products at competitive pricing.
- Coordinate with the design and project team to understand product specifications, finish requirements, and delivery timelines per project.
- Raise purchase orders (POs) in the system and follow up for timely approvals, dispatch schedules, and delivery confirmations.
- Manage logistics coordination — liaising with transporters, tracking shipments, overseeing goods receipt and quality checks at warehouse/site.
- Process and coordinate vendor payments — advance requests, milestone-based payments, and invoice clearance with accounts.
- Maintain an updated vendor database and product catalogue with pricing, lead times, MOQs, and brand partnership status.
- Handle return, replacement, and defect coordination with suppliers when products don't meet quality standards.
- Stay current with lighting design trends — materials, finishes, technology (LED, smart lighting) — to bring fresh ideas to the team.
- Represent the company at trade shows, expos, and brand events to build relationships and discover new sourcing opportunities.
- Ensure all procurement activities are documented, transparent, and aligned with company procurement policies.
Requirements — Must Have
- 2–4 years of experience in purchase / procurement coordination
- Proven experience in vendor negotiation — pricing, terms, and contracts
- Experience in raising and managing POs end-to-end
- Ability to identify, approach, and onboard new brands and suppliers independently
- Strong vendor negotiation and communication skills
- Familiarity with logistics, freight, and delivery processes
- Working knowledge of payment cycles and vendor coordination
- Proficiency in MS Excel / Google Sheets / ERP tools
- Creative eye — ability to judge product aesthetics and market fit
