Job Summary
The HR & Admin Executive is responsible for managing the organization's human resource functions, office administration, payroll coordination, statutory compliance, employee records, and general administrative operations. The role requires thorough knowledge of Indian labour laws, statutory regulations, payroll processes, and employee lifecycle management while ensuring full compliance with applicable legal requirements.
Key ResponsibilitiesHuman Resources
- Manage end-to-end recruitment, onboarding, induction, confirmation, transfers, and employee exit formalities.
- Prepare appointment letters, confirmation letters, warning letters, increment letters, transfer letters, and experience certificates.
- Maintain employee personnel files and HR documentation.
- Monitor employee attendance, leave management, and biometric records.
- Coordinate employee performance appraisal and probation reviews.
- Handle employee grievances and maintain positive employee relations.
- Support employee engagement activities and welfare initiatives.
- Maintain HR policies, SOPs, and employee handbook.
Payroll & Statutory Compliance
- Process monthly payroll in coordination with finance.
- Ensure timely deduction and remittance of statutory contributions.
- Possess sound knowledge of:
- Employees' Provident Fund (EPF)
- Employees' State Insurance (ESI)
- Professional Tax (PT)
- Labour Welfare Fund (LWF)
- Gratuity
- Bonus
- Minimum Wages
- Payment of Wages Act
- Payment of Bonus Act
- Payment of Gratuity Act
- Shops & Establishments Act
- Contract Labour Act (where applicable)
- Labour License compliance
- Prepare and submit all statutory returns within prescribed timelines.
- Coordinate labour inspections and maintain statutory registers and records.
- Ensure compliance with all Central and State labour laws.
Administration
- Manage office administration and day-to-day facility operations.
- Coordinate housekeeping, security, transport, and office maintenance.
- Maintain office assets, inventory, stationery, and vendor records.
- Handle AMC renewals, insurance documentation, and office utility management.
- Coordinate travel, accommodation, and event arrangements.
- Maintain office discipline and ensure adherence to company policies.
Documentation & Compliance
- Maintain employee database and HRMIS records.
- Prepare HR reports and MIS for management.
- Maintain confidential employee information.
- Support internal and external audits.
- Ensure statutory records are updated and audit-ready at all times.
Required Qualifications
- Bachelor's Degree in Human Resources, Commerce, Business Administration, or related discipline.
- MBA/PGDM in Human Resources or equivalent qualification preferred.
Experience
- 3–7 years of experience in HR & Administration.
- Strong experience in statutory compliance and payroll management.
- Experience handling labour law compliance independently.
Required Skills
- Excellent knowledge of Indian labour laws and statutory compliance.
- Hands-on experience with payroll processing.
- Knowledge of PF, ESI, PT, LWF, Gratuity, Bonus, and Labour Licensing.
- Strong administrative and organizational skills.
- Excellent communication and interpersonal abilities.
- Proficiency in MS Excel, Word, HRMS, and payroll software.
- Strong documentation and record management skills.
- Ability to work independently and maintain confidentiality.
Pay: ₹20,000.00 - ₹25,000.00 per month
