Position Overview
We are seeking a proactive, highly organized, and strategic Executive Assistant (EA) to provide comprehensive executive support to our Managing Director (MD) and Chief Strategy Officer (CSO).
In this dual-support role, you will serve as the primary operational partner, and strategic coordinator for two key C-suite leaders. The ideal candidate thrives in a fast-paced environment, possesses exceptional communication and problem-solving skills, and maintains absolute discretion. Beyond administrative mastery—such as complex schedule management and seamless travel logistics—you will act as a force multiplier by tracking strategic initiatives, preparing executive briefings, and ensuring seamless cross-functional alignment.
Key Responsibilities
Executive Support & Administrative Mastery
- Calendar Management: Maintain and align complex, frequently changing calendars for both the MD and CSO, proactively resolving scheduling conflicts and prioritizing high-impact engagements.
- Travel & Logistics: Coordinate end-to-end domestic and international travel arrangements, including flights, accommodation, visas, ground transport, and detailed itineraries.
- Communication & Gatekeeping: Serve as the primary point of contact for internal leadership, board members, investors, and external partners; handle inquiries with tact, diplomacy, and sound judgment.
- Meeting Preparation: Organize logistics, draft agendas, gather pre-read materials, and ensure both leaders are thoroughly prepped for internal management meetings, board sessions, and client engagements.
Strategic Coordination & Project Support
- Strategic Initiative Tracking: Partner with the CSO to monitor progress on company-wide strategic projects, follow up on action items across departments, and flag potential bottlenecks.
- Board & Leadership Presentation Support: Assist in drafting, proofreading, and refining executive presentations, reports, spreadsheets, and pitch decks using PowerPoint/Google Slides and Excel.
- Meeting Governance: Attend executive-level meetings alongside the MD/CSO to take clear, concise minutes, track action items, and ensure timely follow-through across cross-functional teams.
- Ad-Hoc Projects: Manage special projects, research initiatives, and leadership events as assigned by the MD or CSO.
Skill Requirements
- Senior-Level Experience: 5+ years of experience supporting C-suite executives (preferably MDs, CEOs, or Strategy/Operations Leaders) in a fast-paced corporate or high-growth environment.
- Calendar & Logistics Expertise: Advanced proficiency in managing complex calendars and multi-stop travel across multiple time zones.
- Tech Savvy: High proficiency with modern productivity suites (Google Workspace, Microsoft 365), project management tools (e.g., Asana, Jira, Notion, Trello), and video conferencing platforms (Zoom, Teams).
- Strategic & Business Acumen: Ability to understand high-level business goals, prioritize tasks based on strategic importance, and anticipate executive needs before they arise.
- Exceptional Communication: Strong written and verbal communication skills, with the ability to draft executive correspondence and polish presentations.
- Discretion & Judgment: Uncompromising integrity and demonstrated ability to handle highly confidential, sensitive business information.
- Problem-Solving & Agility: Strong critical thinking skills; capable of remaining calm, resourceful, and adaptable under pressure when priorities shift rapidly.
Stakeholder Management: Excellent interpersonal skills with a polished, professional demeanor to build strong relationships across all levels of the organization.
