Position Overview
The Crew Operations & Logistics Manager will be responsible for overseeing end-to-end crew operations, logistics planning, and on-field execution across projects. This role requires strong coordination between production, creative, and client teams to ensure seamless shoot execution, high-quality delivery, and exceptional client experience. The role demands high availability, quick decision-making, and the ability to manage dynamic, fast-paced production environments.
Key Responsibilities1. Crew Operations & Scheduling
- Manage end-to-end crew coordination, including confirmations via calls and calendar invites.
- Oversee crew schedules, attendance, and group communications to ensure smooth coordination.
- Identify and onboard suitable freelancers and maintain a strong network of on-field crew.
2. Logistics Management
- Plan and coordinate travel logistics (bus, flight, cab, etc.) for crew across multiple regions, not limited to Kochi.
- Arrange accommodation, food, and required permissions for shoots in coordination with the logistics team.
- Ensure seamless execution of all logistical requirements for shoots.
3. Team Development & Coordination
- Collaborate with department heads to support the development of in-house teams and freelancers.
- Conduct training, supervision, and guidance for crew members during shoots.
- Lead shoot planning discussions and coordinate production and logistics meetings.
4. Feedback & Review Management
- Conduct structured post-shoot reviews and streamline discussions.
- Collect and analyze feedback from crew, clients, and post-production teams.
- Ensure continuous improvement in operations based on feedback insights.
5. Discipline & Protocol Adherence
- Ensure strict adherence to company protocols, discipline, and operational guidelines during shoots.
- Oversee on-field requirements such as equipment allocation, safety protocols, and client interactions.
6. Data & Backup Management
- Ensure proper backup processes, including file transfers and storage across multiple sources.
- Provide on-field data handling support and ensure data security standards are maintained.
7. Financial & Administrative Coordination
- Manage financial aspects such as extra hours tracking, freelancer payments, expense tracking, and documentation.
- Coordinate vendor interactions and client communication for smooth execution.
- Maintain operational checklists and ensure compliance with internal processes.
Additional Expectations
- Must be available on-call 24/7, depending on operational requirements, urgent issues, and coordination with management, crew, and clients.
- Ability to handle last-minute changes, high-pressure situations, and problem-solving on the go.
- Coordinate with drone operators and ensure necessary licensing requirements are met.
Preferred Qualifications & Requirements
- Prior experience in crew operations and logistics within wedding or production firms will be given top priority.
- Strong network and contacts with freelance crew members across regions.
- Excellent communication skills, with the ability to coordinate effectively with international clients.
- Mandatory: Undergraduate (UG) and Postgraduate (PG) qualifications.
- Strong organizational, multitasking, and crisis management abilities.
