As part of our growing multi-property operation, the Central Reservations Department plays an important role in managing guest enquiries, reservations, pre-arrival communication, and coordination across the group.
Job Overview
Nattika Ayurveda Retreats is looking for an experienced and responsible Reservations Supervisor to supervise and assist with the day-to-day operations of the Central Reservations Department.
The ideal candidate should have strong communication skills, excellent attention to detail, good knowledge of hotel reservation procedures, and the ability to guide the reservations team while ensuring that guest enquiries and bookings are handled accurately, professionally, and promptly.
The Reservations Supervisor will work closely with the Reservations Manager, Front Office, Sales, Accounts, Ayurveda teams, and respective property teams to ensure smooth reservation operations and a high standard of guest communication from the initial enquiry through to arrival.
Key Responsibilities
- Supervise and assist with the daily operations of the Reservations Department.
- Ensure accuracy of room blocks, reservations, room categories, rates, packages, guest information, and booking correspondence.
- Review and implement reservation procedures and operational standards in coordination with management.
- Process and oversee reservation requests, amendments, cancellations, and enquiries received through telephone, email, website, social media, travel agents, and other booking channels.
- Identify guest requirements and recommend the appropriate room category, package, Ayurveda programme, or available option.
- Verify room availability, rates, inclusions, minimum-stay requirements, and applicable booking conditions before confirmation.
- Accommodate and properly document special requests, preferences, dietary requirements, transfer requirements, and other relevant guest information.
- Provide accurate information regarding accommodation, Ayurveda programmes, property facilities, services, policies, transfers, and other guest requirements.
- Follow appropriate sales techniques to improve booking conversion, occupancy, and revenue.
- Identify suitable opportunities for room upgrades, longer stays, packages, and additional services where appropriate.
- Input, update, and maintain accurate guest and reservation information in the reservation/property management system.
- Ensure all quotations, booking confirmations, payment instructions, cancellation policies, and other guest correspondence are accurate and complete.
- Monitor pending enquiries, tentative bookings, option dates, payment deadlines, waitlists, cancellations, and follow-up requirements.
- Respond promptly to challenges relating to room availability, rooming requests, booking discrepancies, or guest requirements.
- Coordinate with the respective property teams regarding arrivals, departures, VIP guests, room allocations, special requests, and operational requirements.
- Coordinate with the Accounts Department regarding advance payments, refunds, outstanding balances, billing instructions, and reservation-related financial matters.
- Ensure proper billing instructions and guest accounts are established according to company accounting policies.
- Troubleshoot and resolve guest concerns related to reservations and escalate matters to the appropriate manager when necessary.
- Review reservation errors, booking discrepancies, communication gaps, and overbooking risks and take corrective action.
- Monitor the quality and accuracy of emails and telephone communication handled by the reservations team.
- Ensure enquiries are responded to within the required response times and follow-up procedures are properly maintained.
- Assist management in training, scheduling, coaching, counselling, and motivating Reservations Executives.
- Serve as the first point of support for team members handling complex enquiries or reservation-related issues.
- Ensure proper shift handovers and clear communication between members of the reservations team.
- Coordinate closely with Sales, Marketing, Front Office, Ayurveda, Accounts, and Management whenever required.
- Maintain confidentiality of guest, company, commercial, and financial information.
- Follow all company policies, reservation procedures, data-protection requirements, and professional communication standards.
Candidate Profile
- Graduate or Diploma in Hotel Management, Hospitality, Tourism, Travel Management, or a related field.
- Previous experience in hotel or resort reservations is required.
- Prior experience as a Reservations Supervisor, Senior Reservations Executive, or similar position will be preferred.
- Experience with luxury hotels, resorts, wellness retreats, Ayurveda resorts, or international guests will be an advantage.
- Good understanding of hotel reservations, room inventory, rates, packages, booking policies, deposits, cancellations, and payment procedures.
- Strong written and spoken English.
- Excellent email drafting and telephone communication skills.
- Strong attention to detail and ability to maintain accuracy while handling a high volume of enquiries.
- Good organisational, coordination, and problem-solving abilities.
- Ability to supervise, train, and support a reservations team.
- Ability to handle reservations across multiple properties and different guest markets.
- Working knowledge of Microsoft Office and hotel/property management or reservation software.
- Ability to work calmly and professionally during periods of high enquiry and booking volume.
- Guest-focused approach with a professional and courteous manner.
