About the Role
We are looking for an AI Product Operations & Release Coordinator to manage production operations for enterprise AI products that are already live with customers.
The role involves project coordination, production support, release coordination, QA process tracking, DevOps coordination, customer communication, operational reporting, and continuous improvement of production processes.
The candidate should be technically comfortable, process-oriented, disciplined in follow-ups, and capable of coordinating with internal engineering teams as well as customer stakeholders.
Key Responsibilities
Production Operations
Track day-to-day production activities across multiple AI products.
Maintain issue trackers, action items, release status, customer feedback, and support logs.
Coordinate with engineering, QA, DevOps, product, and support teams for timely closure of issues.
Track recurring issues, production defects, escalations, and pending customer commitments.
Maintain production incident notes, RCA updates, fixes, and deployment status.
Project and Task Coordination
Track internal team tasks and follow up on pending deliverables.
Maintain weekly status updates across engineering, QA, DevOps, and product teams.
Prepare internal progress summaries for management review.
Maintain MoMs, action trackers, release trackers, and customer commitment trackers.
Ensure customer requirements and support items are converted into internal tasks and tracked to closure.
Release and DevOps Coordination
Support release planning and deployment coordination.
Maintain release checklists covering code changes, configuration changes, prompt changes, API changes, QA sign-off, and deployment readiness.
Coordinate staging, UAT, production deployments, hotfixes, and rollback readiness with technical teams.
Track deployment status, release notes, version changes, and post-deployment validation.
Help streamline CI/CD, deployment, and production validation processes.
QA Process Coordination
Coordinate regression testing, smoke testing, sanity testing, UAT support, and production validation.
Track QA status, open defects, test reports, release-readiness inputs, and QA sign-offs.
Support prompt regression testing, API testing, workflow testing, and AI response validation tracking.
Ensure bugs are documented with clear reproduction steps, logs, screenshots, payloads, and expected vs. actual results.
Customer Communication and Reporting
Coordinate weekly customer meetings and support calls.
Prepare meeting agendas, status reports, issue trackers, and customer-facing updates.
Capture and circulate MoMs with clear action items, owners, and target dates.
Follow up on customer-raised issues and ensure internal ownership is assigned.
Prepare weekly and monthly operational reports covering usage, issues, releases, support status, and key metrics.
Operational Metrics
Track production metrics such as usage volume, bot interactions, call volume, success rate, fallback rate, escalation rate, API failures, response latency, defect count, and pending issues.
Coordinate with technical teams to collect dashboard data, logs, QA observations, and production insights.
Identify recurring issue patterns and highlight operational risks to management.
Required Skills
3+ years of experience in technical project coordination, production support, QA coordination, DevOps coordination, product operations, or software delivery support.
Good understanding of software development lifecycle and production support lifecycle.
Basic understanding of APIs, backend systems, logs, deployments, and production environments.
Ability to track tasks, follow up with teams, and maintain structured documentation.
Understanding of CI/CD pipelines, release process, staging, UAT, and production environments.
Ability to prepare clear status reports, MoMs, release notes, action trackers, and customer updates.
Good written and verbal communication skills.
Strong ownership, attention to detail, and follow-up discipline.
Ability to coordinate with engineering, QA, DevOps, product, support, and customer-facing teams.
Ability to work in a fast-moving production environment with multiple live products.
Good to Have Skills
Exposure to GenAI products, chatbots, voice bots, agent assist systems, call quality audit platforms, or workflow automation products.
Basic understanding of LLMs, prompts, prompt regression testing, AI response validation, and conversational AI workflows.
Exposure to API testing, basic SQL, Python scripting, log analysis, or monitoring dashboards.
Experience in customer-facing production support or enterprise SaaS support.
Exposure to travel, BFSI, call center, compliance, or workflow automation domains.
Ideal Candidate Profile
The ideal candidate should be a technically aware operations coordinator who can bring structure to production support and maintenance activities.
The candidate should be comfortable tracking multiple products, multiple stakeholders, and multiple open issues at the same time. The role requires discipline in documentation, strong follow-up ability, comfort with technical teams, and maturity in customer communication.
The candidate should be able to understand technical discussions, track dependencies, coordinate releases, follow up with teams, communicate clearly with customers, and ensure production activities are handled in a disciplined manner.
