Job Summary
We are looking for a proactive and detail-oriented Sales/MIS Coordinator to support the Sales team by managing sales operations, preparing quotations and proposals, maintaining MIS reports, coordinating with customers and internal departments, and ensuring compliance with ISO documentation requirements. The ideal candidate should possess excellent analytical skills, proficiency in Microsoft Excel, and exposure to manufacturing processes. Knowledge of Power BI for dashboard creation and business analytics will be an added advantage.
Key Responsibilities
Sales Coordination
- Coordinate with the Sales team to manage customer enquiries, RFQs (Request for Quotations), and order execution.
- Prepare, review, and submit customer quotations, techno-commercial proposals, and cost sheets based on customer requirements.
- Follow up with customers regarding quotations, proposals, purchase orders, and order confirmations.
- Coordinate with Design, Production, Planning, Procurement, and Quality teams for timely submission of quotations and execution of orders.
- Maintain records of enquiries, quotations, orders, and customer communications.
MIS & Reporting
- Prepare Daily, Weekly, and Monthly Sales MIS reports.
- Track sales performance against targets and prepare variance analysis.
- Generate reports on enquiries, quotations, order conversion ratio, sales pipeline, and revenue.
- Maintain accurate sales databases and customer master data.
- Prepare dashboards and presentations for management review.
- Analyze sales trends and provide actionable insights to improve business performance.
Quotation & Proposal Management
- Prepare accurate quotations for sheet metal fabrication components based on BOMs, drawings, material specifications, and manufacturing inputs.
- Develop professional technical and commercial proposals for customers.
- Coordinate with Estimation, Engineering, and Production teams for costing and feasibility.
- Ensure quotations comply with company pricing policies and customer requirements.
- Maintain quotation history and monitor conversion status.
Customer Coordination
- Serve as the primary point of contact for customer enquiries and order-related communication.
- Coordinate order status updates, delivery schedules, and documentation.
- Ensure timely submission of required documents such as quotations, proposals, compliance documents, and reports.
ISO Documentation & Compliance
- Maintain and update sales-related documents in accordance with the company's ISO Quality Management System (ISO 9001 or applicable standards).
- Ensure proper filing, version control, and traceability of quotations, customer communications, contracts, and records.
- Support internal and external ISO audits by providing relevant sales documentation and records.
- Coordinate with the Quality Assurance team to ensure compliance with ISO procedures and documentation requirements.
- Assist in preparing Standard Operating Procedures (SOPs), work instructions, and departmental records.
- Ensure compliance with document control procedures and continuous improvement initiatives.
Documentation & Administration
- Maintain sales documentation, ISO documentation, contracts, customer records, and correspondence.
- Prepare monthly sales presentations and management reports.
- Ensure data accuracy and confidentiality across all reports and records.
Required Skills
Technical Skills
- Advanced Microsoft Excel
- MS Office Suite (Word, PowerPoint, Outlook)
- ERP systems (SAP, Oracle, Microsoft Dynamics, Tally, or similar)
- CRM software exposure
- Understanding of costing, quotations, and manufacturing documentation
Added Advantage
- Knowledge of Power BI (Dashboard Development, Data Visualization, DAX Basics, Report Publishing)
- Basic SQL knowledge
- Understanding of sheet metal fabrication processes such as Laser Cutting, CNC Punching, CNC Bending, Welding, Powder Coating, and Assembly
