Description of Position
The roles and responsibilities of the Patient Care & Adminstration Coordinator will evolve as the birth centre evolves. The patient care and administration coordinator is responsible for maintaining the organization of the center and ensuring that the environment is welcoming, calm, and quiet for patients and their families.
The typical role shall include:
- Manage the front office & patients visiting the Centre.
- Manage & coordinate appointments for patients for OPD, IPD, Lab tests, Specialist consultations & others as & when required.
- Ensure hygiene and a safe environment for all the visitors at the Centre.
- Communicate effectively & efficiently to patients, doctors, and other stakeholders about center's services.
- Maintain clinical, financial, and other documentation efficiently and update regularly.
- Ensure a seamless and positive experience for mothers and families during all the coordination.
- Manage & coordinate on procurement of consumables and equipment.
- Contribute to the delivery of the organization’s objectives.
- Advocate for midwifery practices and midwife-led models of care to all stakeholders.
CORE PATIENT MANAGEMENT RESPONSIBILITIES
- Serve as a primary source for customer service assistance by handling patient queries and ensuring client satisfaction.
- Schedule appointments for consultation/procedures for patients on either telephone or in person.
- Answer patient telecalls in a timely manner using good customer service skills and judgment in the distribution of messages.
- Provides administrative support to ensure efficient operation of the office.
- Greet visitors with calm & patience to the facility, answer questions and coordinate constantly between departments like radiology, lab, pharmacy, billing, discharge etc. for the patients.
- Coordinate on the insurance settlement, claims and credit payments.
- Tracking / Follow up call to patients who have not come for consultation / test at the appointed time.
- Responsible for patient engagement and waiting room management.
- Be well acquainted with the processes and protocols of OPD, IPD and admissions in the hospital.
- Assist in getting tariff estimates on further treatment and admission as advised by the treating doctor.
- Coordinates for patient admission and discharge process.
- Follow up of discharge summary.
- Collect feedback from patients & escalate the report to higher management for taking corrective measures.
- Protect patients’ & company’s medical, personal, and financial information & maintain confidentiality.
OPERATIONAL AND ADMINISTRATIVE
- Ensure that standards of practice are maintained & adhered to, and that the nursing staff delivers safe, effective, and person-centered care.
- Strictly adhere to the guidance of doctors, all the Standard Operating Protocols (SOPs), and predefined policies.
- Weekly / Monthly MIS reporting.
- Employee attendance management.
- Petty cash management.
- Manage housekeeping & ensure the hygiene at the centre, ensure extra care during Covid times as per protocols.
- Review concerns and complaints and contribute to appropriate remedies.
- Coordinate the medical supplies and inventory as required.
- Manage timely procurement of clinical and non-clinical consumables & equipment.
- Responsible for maintaining inventory of all office supplies and placing replenishment orders as needed.
- Collaborate with other medical and non-medical personnel, including the backup nurses, and participate in shift-scheduling as needed.
- Participate in health campaigns/camps to promote the centre, natural birthing concept, and midwifery to mothers-to-be, family, and the general public.
- Coordinate with clinical and non-clinical staff in regular audits of the organisation and actively participate as needed.
COMMUNICATION
- Communicate effectively with Doctors, Midwives, nurses, Finance, other team members and clients.
- Maintain comprehensive and accurate contemporaneous records, with due regard to maintaining confidentiality.
- Help patients in distress by responding to emergencies.
- Liaising with Trustwell Hospital and AMC Centre to coordinate on all the shared services related to patient care and billing process.
- Update constantly and upskill self to meet professional, institutional & industry standards.
Pay: ₹11,771.49 - ₹30,206.98 per month
