As we continue to scale, we are looking for a highly organized, detail-oriented and proactive Administrative Executive to support our finance, administration and corporate operations.
Role Overview
The Administrative Executive will play a critical role in ensuring the smooth day-to-day functioning of the organization by managing office administration, basic accounting, secretarial support, statutory documentation and executive coordination.
The ideal candidate is highly dependable, possesses strong organizational and communication skills, and enjoys working in a fast-paced technology startup environment.
Key Responsibilities
Finance & Basic Accounting
- Maintain day-to-day accounting records and bookkeeping.
- Process vendor invoices, purchase orders and expense reimbursements.
- Prepare payment requests and coordinate with banks for routine transactions.
- Assist in accounts payable and accounts receivable reconciliation.
- Maintain petty cash records and expense statements.
- Coordinate with external Chartered Accountants for GST, TDS, Income Tax and statutory filings.
- Prepare management reports, MIS and basic financial summaries.
- Maintain accounting records using ERP/accounting software such as Tally, Zoho Books or similar platforms.
Secretarial & Compliance Support
- Maintain statutory records, agreements and corporate documentation.
- Coordinate board meetings and prepare meeting agendas, minutes and resolutions.
- Maintain company registers, licenses and compliance records.
- Support incorporation, regulatory filings and liaison with external consultants.
- Track compliance deadlines and statutory submissions.
- Maintain confidentiality of financial and legal documents.
Office Administration
- Oversee daily office operations and administrative activities.
- Coordinate with facility management, housekeeping and office vendors.
- Manage procurement of office supplies, IT assets and consumables.
- Maintain inventory and asset registers.
- Coordinate travel bookings, accommodation and logistics for employees and visitors.
- Support onboarding and administrative formalities for new employees.
- Maintain office records, documentation and filing systems.
Executive Support
- Manage calendars, meetings and appointments for leadership.
- Prepare presentations, reports, business correspondence and internal communications.
- Coordinate internal meetings and maintain action trackers.
- Organize company events, leadership meetings and client visits.
- Support cross-functional coordination across finance, HR, legal and business teams.
Vendor & Administrative Coordination
- Manage vendor onboarding and documentation.
- Coordinate vendor contracts, renewals and invoices.
- Track service agreements and office maintenance contracts.
- Build effective relationships with banks, auditors, consultants and service providers.
Qualifications
Education
- MBA or Postgraduate Degree from a Premier Business School, or
- ACA (Associate Chartered Accountant) from the Institute of Chartered Accountants of India.
A Bachelor's degree in Commerce, Business Administration, Finance or Accounting with excellent academic credentials may also be considered.
Experience
- 2–4 years of relevant experience.
- Mandatory experience in B2B SaaS, FinTech or technology-enabled service companies.
- Experience working in high-growth startups or technology companies will be preferred.
