Role overview
The Sales Coordinator is the nerve centre between the admin office and all franchise outlets. This person tracks outlet-wise sales performance, compiles MIS reports, coordinates schemes and product launches, and ensures the MD has accurate, timely data to make decisions. This is not a field sales role - it requires strong analytical and coordination skills rather than direct selling.
Key responsibilities
Sales MIS & reporting - Compile daily, weekly, and monthly outlet-wise sales data. Prepare MIS reports covering revenue, product-category split (farming equipment vs pipes & fittings), and target vs achievement for each outlet.
Target tracking & follow-up - Assign monthly targets to outlet supervisors in coordination with MD. Track progress weekly and send performance updates. Flag underperforming outlets with reasons.
Franchise partner coordination - Act as the primary point of contact for day-to-day queries from franchise partners. Relay policy changes, new product launches, pricing updates, and promotional schemes to all outlets promptly.
Order & indent coordination - Collect order indents from outlets, consolidate demand, and coordinate with the Purchase / Operations team to ensure timely stock availability at each location.
Scheme & promotional management - Maintain records of all active trade schemes, seasonal offers, and incentive programs. Ensure outlets are aware and correctly claiming scheme benefits. Reconcile scheme payouts with accounts.
Customer complaint coordination - Log complaints received from outlet customers regarding product quality or delivery. Coordinate resolution with operations and suppliers, and update the outlet on status.
New outlet support - When a new franchise outlet is launched, coordinate the onboarding checklist - stock readiness, signage, system setup, and initial training coordination — with the relevant teams.
Key performance indicators
MIS accuracy & timeliness - Reports submitted by 5th of each month
Target tracking - Weekly updates for all outlets, no gaps
Complaint resolution TAT - Closure within 72 hours of logging
Scheme reconciliation - Zero disputes on scheme payouts
Requirements
Must-have
- Graduate in any discipline (BBA / B.Com preferred)
- 2–4 years in sales coordination or back-office
- Strong MS Excel (pivot tables, VLOOKUP)
- Good written communication in English & Hindi / Gujarati
- Organised, detail-oriented, deadline-driven
- Comfortable handling multiple outlets simultaneously
Good to have
- Experience in retail / distribution / FMCG back-office
- Knowledge of Tally or any ERP for sales reports
- Familiarity with trade scheme structures
- Basic understanding of farming equipment or pipe fittings
- Experience with Google Sheets or Power BI
Reporting & working conditions
- Reports to: COO
- 6 days a week, office-based
- Location: Admin HQ
- Works with: Operations, Accounts & Franchise partners
- High outlet communication via phone / WhatsApp
- Occasional outlet visits for ground-level understanding
Pay: ₹18,000.00 - ₹22,000.00 per month
