- Maintain accurate records of all purchase transactions, supplier accounts, and import/export-related documentation.
- Verify and process vendor invoices with corresponding purchase orders (POs), goods received notes (GRNs), and import documentation.
- Ensure timely posting of purchase bills and maintain proper documentation as per company policies and statutory requirements.
- Coordinate with procurement, stores, logistics, and finance teams for invoice approvals, material receipt confirmations, and shipment-related activities.
- Monitor vendor advances, reconcile vendor statements periodically, and ensure proper accounting treatment of import-related payments.
- Handle GST input reconciliation, import GST reconciliation, and ensure compliance with applicable taxation norms including documentation requirements.
- Assist in month-end and year-end closing activities related to purchases, imports, and inventory transactions.
- Track pending purchase orders and follow up with vendors for timely billing, deliveries, and shipment schedules.
- Maintain an updated vendor database and support vendor registration, verification, and compliance documentation.
- Manage EXIM operations including coordination of import/export shipments, preparation and verification of shipping documents, and ensuring smooth customs clearance processes.
- Coordinate with freight forwarders, customs brokers (CHA), and logistics partners for import/export shipments and documentation.
- Ensure compliance with EXIM regulations, including Foreign Trade Policy (FTP), Customs regulations, DGFT requirements, and other applicable statutory guidelines.
- Prepare, verify, and maintain import/export documents such as commercial invoices, packing lists, bills of lading/airway bills, certificates of origin, shipping bills, bills of entry, and other required compliance records.
- Monitor import shipments, track shipment status, and ensure timely clearance and delivery of imported materials.
- Support documentation and compliance related to Import Export Code (IEC), advance authorizations, duty benefits, and other EXIM schemes, wherever applicable.
- Maintain records for customs assessments, duty payments, import compliance, and audit requirements.
- Support internal, statutory, and customs audits by providing necessary purchase, import/export, and compliance-related data and documents.
