A Receptionist is responsible for managing the front desk operations of the hospital, greeting patients and visitors, handling inquiries, scheduling appointments, and ensuring smooth communication between patients and hospital departments. The Receptionist serves as the first point of contact and plays a key role in providing excellent customer service.
Key ResponsibilitiesFront Desk Management
- Welcome patients, visitors, and guests in a professional and courteous manner.
- Manage the reception area and ensure it remains organized and presentable.
- Direct patients and visitors to the appropriate departments or personnel.
Patient Registration & Appointments
- Register new patients and update patient records accurately.
- Schedule, reschedule, and confirm appointments.
- Maintain appointment schedules and coordinate with doctors and other departments.
Communication & Coordination
- Answer incoming phone calls and respond to inquiries promptly.
- Transfer calls and relay messages to the appropriate staff members.
- Provide information regarding hospital services, consultation timings, and procedures.
Administrative Support
- Maintain patient records and filing systems.
- Handle correspondence, emails, and documentation.
- Assist with billing-related inquiries and payment collection, if required.
- Prepare daily reports and maintain registers as assigned.
Customer Service
- Address patient concerns and complaints professionally.
- Ensure a positive patient experience by providing timely assistance.
- Maintain confidentiality of patient information at all times.
Documentation & Record Keeping
- Maintain accurate records of patient visits and appointments.
- Ensure all forms and documents are completed and filed properly.
- Assist in preparing reports and administrative documents as required.

Experience
- Minimum 1–2 years of experience as a Receptionist, Front Office Executive, or Customer Service Representative.

Technical Competencies
