Job Summary
We are looking for a proactive and organized Office Administrator & Project Coordinator to support day-to-day office operations and coordinate software projects. The ideal candidate will act as a bridge between clients, developers, sales teams, and management to ensure smooth communication and timely project execution.
Key Responsibilities
Project Coordination
- Coordinate with clients to collect project requirements and clarifications.
- Schedule meetings and follow-up discussions with customers.
- Track project progress and maintain status reports.
- Coordinate with developers and support teams to ensure timely completion of tasks.
- Follow up on pending deliverables and escalate delays when necessary.
- Maintain project documentation and update internal project management systems.
Client Communication
- Act as the primary coordination point between clients and internal teams.
- Provide regular project updates to customers.
- Maintain records of client communications and project discussions.
- Ensure timely response and resolution of client queries.
Administrative Responsibilities
- Prepare and maintain quotations, proposals, and project-related documents.
- Coordinate invoicing and payment follow-ups with customers.
- Maintain company records, files, and documentation.
- Manage meeting schedules, appointments, and internal coordination activities.
- Coordinate with vendors and service providers when required.
Requirements
- Bachelor’s degree in any discipline.
- 1–3 years of experience in administration, project coordination, customer support, or a similar role.
- Strong communication and interpersonal skills.
- Good organizational and multitasking abilities.
- Proficiency in MS Office and Google Workspace.
- Ability to coordinate effectively with multiple stakeholders.
- Experience in software, IT, or ERP-related companies will be an added advantage.
