Role Purpose To monitor and audit key design-stage process checkpoints and ensure compliance with company standards through tracking, follow-up, and reporting. The Design Stage Auditor is responsible only for auditing and reporting process compliance. The role is not responsible for executing or owning any of the activities being audited. Audit Scope The Design Stage Auditor shall monitor the following four checkpoints: 1. 10% Design Advance Collection Audit Objective Ensure the 10% Design advance payment is collected within 10 days as per company procedure.. Auditor Responsibility Review projects with pending 10% advance collection. Track cases exceeding the prescribed timeline. Follow up with the concerned stakeholders for status updates. Maintain a pending tracker and closure report. Escalate long-pending cases to the reporting manager. Auditor is NOT responsible for: Collecting payment from clients. Commercial discussions with clients. 2. Scope Freeze Meeting Audit Objective Ensure Scope Freeze Meeting is completed before D2F submission. Auditor Responsibility Verify whether the Scope Freeze Meeting has been conducted. Check the availability of meeting records or confirmation. Track projects where the meeting is pending. Follow up with the concerned Interior Designer for closure. Auditor is NOT responsible for: Conducting the Scope Freeze Meeting. Finalizing project scope. 3. D2F Documentation Audit Objective Ensure D2F submissions contain all mandatory D2F documents. Auditor Responsibility Verify the mandatory D2F documents. Identify missing documents and report observations. Share findings with the Reporting Manager and concerned team Leader for correction. Track closure of reported observations. Auditor is NOT responsible for: Preparing D2F documents. Correcting drawings or documentation. Approving D2F submissions. 4. Client Communication Audit Objective Ensure client communication processes are followed during the design stage.( WhatsApp Group ) Auditor Responsibility Verify Client WhatsApp Group creation. Verify that the Interior Designer has shared the design schedule with the client. Maintain compliance records, and provide updates to the Reporting Manager. Auditor is NOT responsible for: Creating WhatsApp groups. Sharing schedules with clients. Managing client communication. Reporting The Design Stage Auditor shall maintain: Advance Collection Pending Tracker Scope Freeze Compliance Tracker D2F Documents Audit Tracker Client Communication Compliance Tracker A consolidated status report shall be shared with the Design Manager on a weekly basis. Escalation Any case remaining non-compliant beyond the prescribed timeline shall be escalated to the concerned Design Manager for further action. Key Performance Indicators (KPIs) 1. Audit Compliance Tracking Accuracy 2. Timely Follow-up on Pending Cases 3. Weekly Audit Report Submission 4. Closure Tracking of Audit Observations 5. Escalation Compliance
