Role Description
The Business Operations Administrator will support the internal operations of 9ine across our global offices by providing administrative support to the HR, Business Operations and Finance functions. The successful candidate will work from defined policies, processes and procedures to ensure operational activities are delivered accurately, consistently and within agreed timescales.
The role focuses on delivering high quality administrative support across a range of business activities including recruitment administration, employee documentation, finance administration, business operations and event coordination. The successful candidate must possess exceptional organisational skills, demonstrate excellent attention to detail and be comfortable managing multiple priorities within a fast-paced environment.
Responsibilities
You will be responsible for:
- Providing proactive administrative support across internal business operations.
- Supporting recruitment administration including CV reviews, interview scheduling and candidate communications.
- Preparing employment contracts, offer letters and onboarding documentation.
- Maintaining accurate internal records and HR systems.
- Coordinating onboarding and offboarding activities.
- Assisting with appraisal and performance documentation.
- Maintaining HR policies, procedures and colleague documentation.
- Coordinating travel, accommodation and logistics for colleagues.
- Overseeing the day to day running of the offices, including office supplies, renovations, maintenance and moves.
- Assisting with administration for company events.
- Assisting in finance activities including client invoices, debtor follow-up activities.
- Utilising the Service Desk system and 9ine Platform to organise and deliver all daily activities.
- Handling highly confidential information in an honest and trustworthy way.
- Providing suggestions and areas of improvement back into the business to help improve our products and services.
- Presenting both written and verbal outputs directly to various stakeholders (internally and externally) in a clear and concise manner.
Skills and Experience
- Relevant qualifications in business management or a related field.
- An understanding of management principles, ideally project management.
- An understanding of a professional services environment.
- Strong interpersonal skills and a desire to work collaboratively to achieve objectives.
- Excellent troubleshooting skills.
- Excellent organisational and analytical abilities.
- Excellent written skills.
- The ability to communicate effectively with diverse stakeholders.
- Demonstrable experience in delivering strong administrative support to teams.
- Excellent IT and navigational skills throughout Google Workspace.
