Position Title: Pharmacy Manager
Reports To: Hospital Administrator
Location: Hospital Pharmacy (IP / OP / Emergency / OT support)
Job Summary
The Pharmacy Manager is responsible for overseeing the overall functioning of the hospital pharmacy, ensuring safe dispensing of medicines, maintaining statutory compliance, inventory control, staff supervision, and supporting quality patient care in line with hospital protocols and regulatory standards.
Key Responsibilities1. Pharmacy Operations Management
- Oversee daily pharmacy operations for inpatient, outpatient, emergency, ICU, and OT services.
- Ensure timely and accurate dispensing of medicines as per prescription.
- Monitor availability of essential drugs, emergency drugs, and consumables.
- Maintain smooth coordination between pharmacy, doctors, nurses, and administration.
- Ensure 24/7 pharmacy services as per hospital needs.
2. Inventory & Stock Management
- Maintain optimum stock levels of medicines, surgical items, and consumables.
- Monitor stock movement, reorder levels, expiry dates, and near-expiry products.
- Ensure FEFO (First Expiry First Out) and FIFO practices.
- Conduct regular physical stock verification and reconciliation.
- Minimize wastage, pilferage, and stock-outs.
- Coordinate with vendors for procurement and supply chain management.
3. Regulatory & Legal Compliance
- Ensure compliance with Drug Control regulations, Pharmacy Act, and hospital policies.
- Maintain valid pharmacy license and statutory records.
- Ensure proper storage conditions for narcotics, scheduled drugs, cold chain items, and high-risk medications.
- Handle audits by regulatory bodies.
- Ensure documentation for controlled substances and returns.
4. Quality & Patient Safety
- Ensure medication safety protocols are followed.
- Prevent dispensing errors and adverse drug incidents.
- Monitor LASA (Look-Alike Sound-Alike) medicines and high-alert drugs.
- Implement medication error reporting and CAPA.
- Ensure proper labeling, dispensing instructions, and patient counselling.
- Participate in NABH / quality accreditation activities.
5. Team Management
- Supervise pharmacists, pharmacy assistants, billing pharmacy staff, and store personnel.
- Prepare duty rosters and shift schedules.
- Conduct staff training on SOPs, medication safety, and customer service.
- Monitor staff performance and discipline.
- Support recruitment and onboarding of pharmacy staff.
6. Billing & Revenue Management
- Ensure correct billing of medicines and consumables.
- Prevent revenue leakage and unauthorized discounts.
- Monitor pharmacy sales reports and profitability.
- Analyze fast-moving and slow-moving items.
- Support package costing and margin control.
7. Documentation & Reporting
- Maintain daily MIS reports:
- Sales reports
- Stock variance reports
- Expiry reports
- Narcotics register
- Purchase reports
- Prepare monthly performance reports for management.
- Maintain pharmacy SOPs and policy manuals.
Required Qualifications
- Bachelor of Pharmacy (B.Pharm) / Diploma in Pharmacy (D.Pharm) with valid pharmacy registration.
- Master’s degree in pharmacy / hospital management preferred.
Experience
- 5–8 years of hospital pharmacy experience.
- Minimum 2–3 years in supervisory / managerial role preferred.
- Experience in NABH / JCI accredited hospital is an advantage.
