JOB DESCRIPTION – Stenographer / Personal Assistant to Secretary

Position Overview:
The Bangalore Club is seeking a highly organized and dependable / Personal Assistant to the Secretary to support in day-to-day administrative, secretarial, and committee-related functions. The role requires a highly presentable candidate with excellent communication skills (verbal & written), and the ability to coordinate effectively across departments and committees. This is a high-pressured position, and the candidate should have the required skills, patience and maturity in dealing with all official matters
Job Description:
· Handling telephone calls to Club Secretariat.
· Handling all correspondences of the Club Secretariat. Taking dictation, preparing letters for all day-to-day correspondence of Club Secretariat.
· Coordinating Member-Secretary appointments and meetings.
· Preparing and dispatching Sub-Committee Meeting Notices and follow up.
· Communicating Secretary’s internal correspondence through letters / notes / phone to all Executives, Managers and Head of the Departments.
· Receiving Secretary’s mail from Despatch Section and mark them for action by HoD’s / concerned department.
· Maintaining files, documents, registers, material etc., of the Club in safe custody.
· To attend Sub-Committee meetings as and when nominated by the Secretary.
· Mandatorily attending all AGMs/ EGMs; Prepare seating plan and ensure that the contents of the Tellers Box are available prior to the AGM/EGM.
· Maintaining strict confidentiality.
· In the temporary absence P.A to Secretary -1, to handle his work.
· Any other duties and responsibilities assigned by the Secretary/ Chairman/ Sub-Committee Members.
Job Specification:
· Graduation is a ‘must’ in any discipline.
· Over-all experience of 10-15 years with 5 or more relevant years in similar role and capacity.
· Proactive; be able to take quick and judicious decisions in the absence of the Secretary.
· Should be able to draft correspondences
Desired Skills:
· Presentable, well-groomed with good etiquettes
· Excellent communication and command over English language
· Strong drafting, documentation, and minute-writing skills.
· English Short-hand and Sr. Type writing preferred
· Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
· Strong organizational, coordination, and multitasking abilities.
· Ability to work independently and work under pressure to meet deadlines.
· High level of discretion and integrity in handling confidential matters.
· Flexible with timing, ‘open to learn’ attitude
Pay: ₹40,000.00 - ₹50,000.00 per month
