Role Purpose
The IT Administrator role exists to own end-to-end IT infrastructure and operations across all Innovspace locations, while operating within Aeonn Ark’s group standards for security, governance, and discipline.
This role ensures reliable, secure, and member-friendly technology services — from Wi-Fi for a solo founder to dedicated VLANs and enterprise-grade setups for large teams.
You are the single point of accountability for IT availability, security, and member experience across Innovspace sites. When infrastructure works well, it is invisible. When it fails, it erodes trust. This role exists to make sure it doesn’t fail.
Key Responsibilities
1. Multi-Location Infrastructure Management (Innovspace-First)
- Maintain network infrastructure (LAN, WAN, Wi-Fi, routers, switches, firewalls) across all Innovspace centers with consistent configurations and service levels
- Design, implement, and enforce standardized network architecture templates for all locations, including:
- VLAN segmentation (members vs internal systems)
- Guest access controls
- Meeting room and shared-space connectivity
- Manage ISP relationships across locations, including redundancy/failover where required
- Track SLA adherence and drive incident resolution with ISPs and vendors
- Deploy and maintain monitoring and alerting for:
- Internet uptime
- Firewall and switch health
- Wi-Fi AP performance
- Critical services per location
- Configure Wi-Fi capacity and QoS for high-density areas and meeting rooms
- Conduct periodic site surveys and heatmaps to optimise coverage and performance
2. New Location Setup & Handover
- Own the IT workstream for new Innovspace launches end-to-end
- Design network architecture, coordinate vendors, procure equipment, and oversee installation
- Create and maintain a repeatable IT launch playbook with milestones, timelines, and acceptance criteria
- Conduct formal acceptance testing before member onboarding begins
- Document as-built configurations, network diagrams, and location-specific SOPs
3. Member & Client IT Services
- Ensure smooth IT onboarding for new members:
- Internet access
- Printer setup
- Meeting room technology
- Access provisioning
- Support enterprise client requirements, including:
- Dedicated VLANs
- Static IP allocation (as per service agreements)
- VPN coordination (client-side)
- Meeting room AV standards
- Maintain high uptime for meeting room AV and conferencing systems
- Respond to member IT issues within defined SLAs, maintaining a member-first, calm, and professional approach
4. IT Operations & Support
- Run a structured IT ticketing workflow: intake → triage → resolution → RCA
- Define and enforce response and resolution SLAs for internal teams and members
- Maintain a clear escalation matrix (L1 → IT Admin → vendor/ISP), including after-hours protocols where required
- Guide and support on-site IT support staff across locations
- Review work quality and ensure consistent service delivery
- Maintain a known-issues log and problem-management register
- Publish monthly incident trends and preventive action summaries
- Administer core corporate IT services for Aeonn Ark / Innovspace staff:
- Email and collaboration tools
- Identity and access management
- Device management
5. Security & Compliance
- Implement and monitor IT security controls:
- Firewalls
- Access controls
- Antivirus and endpoint protection
- Patching discipline
- Own user lifecycle management: onboarding, role-based access, offboarding, and periodic access reviews
- Enforce endpoint baseline standards:
- Device encryption
- Patch compliance
- Standard images
- Privileged access controls
- Ensure data privacy for internal systems and clear separation from member networks
- Manage vendor and remote access using approved, time-bound protocols aligned with Aeonn Ark governance
6. Vendor & Asset Management
- Negotiate and track vendor SLAs
- Document downtime incidents and drive closure with ISPs and hardware vendors
- Manage the full IT asset lifecycle across locations: procurement, tagging, allocation, repair, and retirement
- Track renewals, warranties, and licenses to avoid expiry risk
- Plan upgrades and replacements aligned to location growth, performance needs, and approved budgets
7. Documentation & Reporting
- Maintain accurate IT documentation:
- Network diagrams
- SOPs
- Asset inventories
- Configuration baselines per location
- Standardise operating procedures across all Innovspace centers
- Prepare regular reports on:
- System performance
- Incident trends
- Member feedback on IT services
- Improvement initiatives
- Maintain strict budget discipline — no tools, subscriptions, or capex without Operations/Management approval

Availability & Performance
- Internet uptime ≥ 99.5% per location
- Meeting room tech uptime ≥ 99%
- Stable Wi-Fi performance during peak hours
Operational Efficiency
- MTTR within SLA
- Ticket SLA compliance ≥ 95%
- Patch compliance ≥ 95%
Member Experience
- Member IT onboarding completed within 24 hours of agreement start
- Quarterly member NPS for IT services
- Zero critical IT-related member escalations per month
Governance
- Asset inventory accuracy ≥ 98%
- New-location IT handover completed on schedule
- Monthly incident & trend report published by the 5th of each month
Required Qualifications
- 3–5 years of IT administration or infrastructure experience (multi-site preferred)
- Strong networking fundamentals: Wi-Fi, VLANs, firewalls, routers, switches
- Experience managing or mentoring IT support staff
- Familiarity with cloud services, backups, and security best practices
- Hands-on experience with monitoring and ticketing tools
- Strong coordination and communication skills
- Degree or diploma in IT / Computer Science / related field
Preferred Qualifications
- Experience in coworking, managed offices, or hospitality environments
- Microsoft 365 or Google Workspace administration
- Knowledge of access control systems, CCTV, and smart office tech
- Basic ITIL familiarity
- Basic scripting or automation exposure
- Certifications (optional): Network+, CCNA, Security+
