Job Summary We are looking for a professional and organized Front Office Administration professional to efficiently manage front office operations, administration function for Gurgaon office and pan-India travel management including CXO travel. The candidate will be responsible for handling reception, visitor coordination, office administration, employee support, vendor coordination and ensuring smooth day-to-day office operations. The ideal candidate should possess smart and presentable personality, excellent communication skills, stakeholder management, multitasking, problem-solving skills, along with the ability to maintain a professional, organized and welcoming office environment. Key Responsibilities:
.1 Front Office Management
- Manage front desk and reception activities efficiently
- Welcome and assist visitors, clients, and employees professionally
- Handle incoming calls, emails, couriers, and inquiries
- Maintain visitor records and meeting room coordination
- 2 Administrative Operations
- Ensure smooth day-to-day office administration
- Manage office supplies, stationery, housekeeping, and pantry requirements
- Coordinate with vendors and service providers
- Monitor office maintenance and facility management activities
- 3. Employee & Co-ordination Support
- Support employees with administrative requirements
- Coordinate official travel bookings, accommodation, and meeting arrangements
- Maintain records, documents, and administrative reports
- 4.Vendor & Asset Management
- Handle vendor communication and invoice coordination
- Maintain office asset and inventory records
- Ensure timely renewals and maintenance activities
- 5. Compliance & Office Discipline
- Ensure office policies and procedures are followed
- Maintain office cleanliness, safety, and professional environment
- Support management in administrative compliance activities
- 6. Travel & Booking Management
- Tie-up with hotels/guesthouses in cities of maximum official travel to get competitive rates
- Tie-up with travel agencies/portals etc. to get competitive rates for air & train booking
- Tie-up with car vendors in cities where the Company has offices to get competitive rates
- Manage travel booking, hotel reservation, cab arrangement for employees and CXOs
- Co-ordinate meeting schedules, conference room bookings, and appointment management
- Ensure timely travel planning and smooth coordination for official visits and meetings 7. Any other role assigned by Management
- Required Skills & Qualifications
- Bachelor’s degree or diploma in Administration.
- 8–10 years of experience in Reception, Administration, or Front Office Management
- Strong verbal and written communication skills
- Smart and presentable personality
- Good knowledge of MS Excel, MS Word, Outlook, and PowerPoint
- Ability to coordinate with stakeholders effectively
- Professional personality with strong problem-solving skills
- Ability to multi-task, handle vendors, visitors, and office operations independently
- Prefer candidates from Hospitality, Aviation and Telecom industry
Pay: ₹800,000.00 - ₹1,000,000.00 per year
