Job Description: Executive Assistant / Chief of Staff to the CEO

Role Overview
The Executive Assistant to the CEO will serve as a trusted partner, strategic companion, and operational duplicate to the Founder. At House of Zash, we are building a premium, sustainability-led global lifestyle brand. This is not a passive administrative role; you will actively participate in managing a fast-moving ecosystem that encompasses global manufacturer shortlisting, vendor relations, biodiversity tracking, international distribution, and corporate operations.
The ideal candidate will be an exceptional communicator, highly organized, and capable of thinking multiple steps ahead to execute tasks seamlessly on behalf of the CEO. A background or degree in Finance is a major advantage.
Key Responsibilities & Scope of Work
1. Executive Communications & Representation
Draft high-impact corporate emails, official letters, and strategic internal memos on behalf of the CEO.
Manage high-level stakeholders, including international distributors, vendors, and factory partners (e.g., sourcing agents and manufacturers).
Shield the CEO’s time by acting as the primary gatekeeper, vetting incoming requests, and managing correspondence.
2. Operational Tracking & Follow-ups
Drive accountability across departments by managing strict follow-up schedules for pending tasks (e.g., manufacturer samples, tech packs, and production timelines).
Coordinate directly with sustainability partners to track the "One Purchase, One Tree" initiative and maintain real-time documentation for tree-planting initiatives.
Manage and audit relationships with supply chain stakeholders, including packaging manufacturers and logistics partners.
3. Administration & Logistics Command
Own the CEO's calendar: organize meetings, resolve scheduling conflicts proactively, and ensure the CEO is fully brief-prepared before every call.
Research, plan, and execute comprehensive domestic and international travel itineraries, including accommodation, transport, and factory site visits.
Track daily operation tasks, compile meeting minutes with clear actionable points, and set daily/weekly automated reminders for the founding team.
Required Qualifications & Competencies
Education: Bachelor’s degree in Business Administration, Commerce, Corporate Communication, or a related field. An MBA or Bachelor’s degree in Finance/Accounting is highly preferred and will be considered a significant competitive advantage.
Experience: 2–5 years of experience supporting C-level executives, founders, or working in demanding operational environments (e.g., luxury retail, supply chain, or fast-scaling startups).
Communication Mastery: Impeccable written and spoken English. Ability to adopt the CEO’s professional tone and communicate with authority and diplomacy.
Tech-Savviness: Advanced proficiency with modern office infrastructure, including:
Google Workspace (Docs, Sheets, Slides, Forms, and Calendar).
Cloud-based CRM and Project Management systems (experience with Zoho One / Zoho Projects is an absolute plus).
Modern workflow tools and communication hubs.
Discretion & Trust: Absolute commitment to maintaining confidentiality regarding proprietary financial records, property collaterals, and core business models.
Problem-Solving Mindset: A proactive "get-it-done" attitude with the ability to navigate ambiguity, handle high-pressure budget constraints, and execute tasks on an urgent basis.
