Job Title : Executive Assistant (EA) to the Director
Job Summary
We are seeking a highly organized, proactive, and professional Executive Assistant (EA) to the Director to provide comprehensive executive and administrative support. The ideal candidate should possess excellent communication, coordination, and organizational skills, with the ability to handle confidential information with integrity and professionalism.
The candidate will be responsible for managing the Director’s schedule, coordinating meetings, preparing official correspondence, following up with internal departments, and ensuring the smooth execution of day-to-day business operations.
Key Responsibilities
* Manage the Director’s daily calendar, appointments, meetings, and travel schedules.
* Draft professional emails, letters, reports, and official correspondence.
* Coordinate with internal departments, clients, vendors, and business associates.
* Prepare meeting agendas, record Minutes of Meeting (MoM), and ensure timely follow-up on action items.
* Handle confidential documents and sensitive business information with complete discretion.
* Screen phone calls, emails, and visitors, and prioritize communications effectively.
* Organize and maintain business records, files, and documentation.
* Prepare presentations, MIS reports, and business summaries as required.
* Coordinate domestic and business travel arrangements.
* Track pending tasks and ensure timely completion through regular follow-ups.
* Assist the Director in special projects and administrative assignments.
* Represent the Director professionally during internal and external interactions.
Eligibility Criteria
* Candidate with a Bachelor’s degree in Business Administration, Commerce, Management, or any recognized discipline.
* Minimum 2–5 years of experience as a Personal Assistant, Executive Assistant, or similar executive support role.
* Excellent verbal and written communication skills in English and Hindi.
* Strong command of MS Office (Word, Excel, PowerPoint, Outlook) and Google Workspace.
* Excellent organizational, multitasking, and time management skills.
* Ability to work under pressure and manage multiple priorities efficiently.
* Strong follow-up, coordination, and interpersonal skills.
* High level of integrity, professionalism, and confidentiality.
* Smart, confident, and proactive personality with excellent decision-support capabilities.
* Well-groomed, highly presentable, and polished professional appearance with strong corporate etiquette and executive presence.
* Pleasant personality with excellent professional manners and communication skills.
* Professional business attire and a positive attitude suitable for representing the Director in meetings and corporate interactions.
* Ability to maintain composure, discretion, and professionalism while handling senior-level responsibilities.
