Communication & Reception
- Greeting & Guiding: Acting as the primary point of contact for guests, vendors, and clients.
- Call Management: Screening, answering, and directing incoming phone calls to the appropriate team members.
- Correspondence: Sorting and distributing incoming mail/packages, and drafting or formatting routine emails and memos. [1, 2, 3]
Administrative & Clerical Support
- Calendar Management: Scheduling appointments, booking conference rooms, and coordinating team meetings.
- Filing & Organization: Maintaining secure physical and digital filing systems to keep company records accurate and easily accessible.
- Data Entry: Updating spreadsheets, databases, or CRM software with new client or project information. [1, 2, 3]
Office Maintenance & Procurement
- Inventory Tracking: Monitoring stock levels of stationery, printer ink, and pantry supplies.
- Ordering Supplies: Researching vendors, ordering new stock, and ensuring work areas are consistently equipped.
- Equipment Care: Troubleshooting office machines (printers, scanners) and scheduling maintenance when necessary. [1, 2, 3, 4, 5]
