The Depot Manager is responsible for overseeing the complete operations of the pharmaceutical warehouse/depot, ensuring efficient inventory management, regulatory compliance, timely dispatches, and smooth coordination with internal departments and distributors. The role involves maintaining product quality, warehouse safety, and compliance with pharmaceutical industry standards.
Key Responsibilities:
Warehouse Operations
Manage day-to-day warehouse and depot activities.
Ensure proper receipt, storage, handling, and dispatch of pharmaceutical products.
Monitor warehouse capacity utilization and space optimization.
Maintain FIFO/FEFO inventory practices.
Inventory Management
Ensure accurate inventory records and stock reconciliation.
Conduct periodic stock audits and cycle counts.
Monitor slow-moving, non-moving, and near-expiry stocks.
Investigate and resolve inventory discrepancies.
Distribution & Logistics
Coordinate timely dispatches to distributors, stockists, and customers.
Monitor transportation and delivery schedules.
Ensure compliance with delivery timelines and service levels.
Optimize logistics costs and transportation efficiency.
Compliance & Quality Assurance
Ensure compliance with GDP (Good Distribution Practices), GMP requirements, and company SOPs.
Maintain proper storage conditions, including temperature and humidity monitoring.
Handle product recalls, returns, and expired stock disposal as per regulatory guidelines.
Ensure readiness for internal and external audits.
Team Management
Supervise warehouse staff, supervisors, and support personnel.
Allocate work responsibilities and monitor performance.
Conduct training on warehouse procedures, safety, and compliance.
Maintain employee discipline and productivity.
Documentation & Reporting
Maintain all warehouse records, stock registers, and dispatch documents.
Prepare daily, weekly, and monthly MIS reports.
Monitor inventory aging and stock movement reports.
Submit operational reports to management.
Safety & Security
Ensure warehouse safety standards are maintained.
Implement fire safety, security, and housekeeping measures.
Monitor warehouse equipment and infrastructure maintenance.
Ensure compliance with EHS (Environment, Health & Safety) guidelines.
Required Qualifications:
Bachelor's Degree in Pharmacy, Science, Supply Chain Management, Logistics, or related field.
MBA/PG Diploma in Supply Chain Management preferred.
Experience:
8–12 years of experience in pharmaceutical warehouse/depot operations.
Minimum 5+ years in a managerial role.
Experience in handling pharmaceutical inventory and distribution.
