We are looking for an experienced Operations Manager who can oversee business operations, manage client relationships, coordinate teams, and support the Principal Architect in driving business growth and brand presence.
Job Summary
The Operations Manager will be responsible for the smooth functioning of daily business operations, ensuring seamless coordination between clients, architects, designers, site teams, vendors, and management. The role also includes executive assistance to the Principal Architect, branding coordination, and overall office administration.
This position requires a proactive professional with exceptional organizational, communication, and leadership skills.
Key ResponsibilitiesClient Relationship Management
- Manage client interactions from initial inquiry to project completion.
- Schedule and attend client meetings with the Principal Architect.
- Maintain regular communication and provide project updates.
- Handle client documentation, proposals, quotations, agreements, and follow-ups.
- Resolve client concerns professionally and ensure exceptional customer experience.
Operations & Project Coordination
- Coordinate between design, execution, procurement, vendors, consultants, and site teams.
- Monitor project timelines, deliverables, and resource allocation.
- Ensure timely completion of projects while maintaining quality standards.
- Prepare weekly project progress reports and management updates.
- Track pending tasks and ensure timely execution.
Team Management
- Supervise architects, interior designers, site coordinators, and administrative staff.
- Conduct daily task reviews and coordination meetings.
- Monitor employee productivity and project assignments.
- Assist HR with recruitment, onboarding, attendance, and performance tracking.
- Foster collaboration across departments.
Executive Assistance to Principal Architect
- Manage the Principal Architect's calendar, meetings, appointments, and travel plans.
- Prepare presentations, project reports, meeting minutes, and business correspondence.
- Follow up on key business decisions and action items.
- Coordinate meetings with clients, consultants, contractors, and vendors.
- Handle confidential information with professionalism and discretion.
Branding & Business Development Support
- Coordinate the firm's branding and marketing initiatives.
- Manage the Principal Architect's LinkedIn and professional branding activities.
- Coordinate photography and videography of completed projects.
- Assist in preparing award submissions, presentations, and design portfolios.
- Support participation in exhibitions, networking events, and industry seminars.
Vendor & Site Coordination
- Coordinate with contractors, suppliers, consultants, and project vendors.
- Track material procurement and delivery schedules.
- Ensure effective communication between office and site teams.
- Monitor site progress and escalate issues for timely resolution.
Administration & Documentation
- Maintain project documentation, contracts, drawings, approvals, and records.
- Develop and implement SOPs to improve operational efficiency.
- Prepare MIS reports, project dashboards, and operational reports.
- Ensure compliance with office policies and project documentation standards.

Preferred Experience
- 5–10 years of experience in Operations, Project Coordination, Studio Management, or Business Operations.
- Experience in Architecture, Interior Design, Construction, Real Estate, or Turnkey Projects is highly preferred.
- Prior experience working closely with founders, principal architects, or business owners will be an advantage.

Education
- MBA (Operations/Marketing)
- BBA
- Bachelor's Degree in Business Administration, Management, Architecture, Interior Design, or a related field.
