Purpose of the Role
The Executive Assistant provides comprehensive, high-level administrative and secretarial support to the Director, acting as the primary point of coordination between the Director's office and internal/external stakeholders. The role is responsible for managing the Director's schedule, communication, travel and documentation with a high degree of confidentiality, accuracy and professionalism, thereby enabling the Director to focus on strategic priorities.
Major Responsibilities
Calendar & Schedule Management: Manage and prioritize the Director's calendar, appointments and meetings. Proactively resolve scheduling conflicts and ensure the Director is well-briefed ahead of every engagement.
Communication Management: Serve as the primary point of contact for internal and external stakeholders. Screen, prioritize and respond to phone calls, emails and correspondence, and draft professional business communications, letters and memos on the Director's behalf.
Meeting Coordination & Documentation: Schedule and arrange meetings, conference calls and events. Prepare agendas and meeting materials in advance, and circulate accurate minutes of meeting (MOM) with clear action items within 24 hours.
Travel & Logistics Management: Plan and coordinate all domestic and international travel, including flights, accommodation, visas and itineraries, ensuring cost-effective and seamless arrangements.
Confidential Information & Records Management: Handle confidential and sensitive information with utmost discretion. Organize and maintain electronic and physical files, documents and records, and retrieve information promptly when needed.
Expense & Budget Management: Monitor and reconcile the Director's expense reports in compliance with company policy. Track budgets and process reimbursements and financial documentation accurately and on time.
Project & Special Assignment Support: Support projects and initiatives assigned by the Director — conducting research, compiling data and preparing reports — while tracking timelines, deliverables and follow-up actions to closure.
Stakeholder & Relationship Management: Build and sustain positive working relationships with internal teams, clients and external partners, and liaise across departments to ensure smooth coordination of the Director's priorities.
Event Management: Plan and organize company events, conferences and business functions, handling logistics such as venue, audiovisual set-up, catering and guest coordination end-to-end.
Pay: ₹20,789.65 - ₹30,809.73 per month
