Position: Executive Assistant to Litigation Partner

Role Summary
The Executive Assistant will provide dedicated secretarial and administrative support to the Litigation Partner by managing correspondence, dictation, scheduling, billing coordination, document preparation, and day-to-day practice administration. The role requires exceptional organizational skills, accuracy, discretion, and the ability to work in a fast-paced litigation environment.
Key ResponsibilitiesSecretarial & Administrative Support
- Take shorthand and transcribe dictations accurately and promptly.
- Draft, type, format, proofread, and finalize legal correspondence, opinions, pleadings, notes, and other legal documents.
- Maintain confidentiality of all client information and legal documents.
- Manage incoming and outgoing correspondence, including emails, letters, and courier communications.
Calendar & Meeting Management
- Manage the Partner's calendar, appointments, court hearings, client meetings, and internal meetings.
- Coordinate meeting schedules and conference calls.
- Arrange meeting rooms, prepare meeting materials, and circulate agendas where required.
- Track important deadlines, hearing dates, limitation periods, and reminders.
Email & Communication Management
- Monitor and organize the Partner's email inbox.
- Prioritize emails, draft responses, and ensure timely follow-ups.
- Coordinate with clients, advocates, courts, and internal teams regarding meetings and documentation.
Document Preparation & Filing
- Prepare, edit, print, scan, and compile legal documents.
- Maintain organized physical and electronic filing systems.
- Ensure proper version control and document management.
- Coordinate printing, binding, and dispatch of legal documents.
Billing & Practice Administration
- Prepare billing sheets and coordinate with the finance team for client invoices.
- Maintain records of billable hours, expenses, and reimbursements.
- Track invoices, payments, and outstanding bills.
- Assist in preparing reports and MIS as required.
General Office Support
- Maintain daily task lists and follow up on pending matters.
- Coordinate with the team members.
- Perform other secretarial and administrative duties assigned by the Partner.
Qualifications
- Graduate in any discipline.
- Certification/Diploma in Secretarial Practice, Stenography, or Office Administration will be preferred.
Experience
- 5-10 years of experience as an Executive Assistant, Legal Secretary, or Stenographer.
- Prior experience in a law firm or litigation practice will be highly preferred.
Skills Required
- Excellent shorthand and dictation skills.
- High-speed and accurate typing (minimum 60–80 WPM preferred).
- Excellent written and verbal communication skills.
- Strong command of Microsoft Word, Excel, Outlook, and PowerPoint.
- Familiarity with legal document formatting and correspondence.
- Strong organizational and multitasking abilities.
- Excellent attention to detail and proofreading skills.
- Ability to maintain confidentiality and exercise sound judgment.
- Professional demeanor with strong interpersonal skills.
Pay: ₹30,000.00 - ₹40,000.00 per month
