Job Summary
The Manager – Hospital Administration is responsible for overseeing the overall administrative and operational functions of the hospital. The role ensures efficient day-to-day operations, regulatory compliance, patient satisfaction, optimal resource utilization, and coordination among various departments to deliver high-quality healthcare services.
Key ResponsibilitiesHospital Operations
- Manage day-to-day hospital administrative operations.
- Ensure smooth functioning of OPD, IPD, Emergency, ICU, OT, Pharmacy, Laboratory, Billing, and Front Office.
- Monitor patient admission, discharge, and transfer processes.
- Develop, implement, and monitor Standard Operating Procedures (SOPs).
- Coordinate with clinical and non-clinical departments to ensure seamless operations.
Human Resource Management
- Supervise administrative, housekeeping, security, maintenance, and support staff.
- Coordinate recruitment, onboarding, training, and performance management of administrative personnel.
- Prepare duty rosters and monitor attendance and discipline.
- Ensure compliance with HR policies and hospital protocols.
Regulatory Compliance
- Ensure compliance with NABH standards, Clinical Establishment Act, Biomedical Waste Management Rules, Fire Safety norms, Labour Laws, and other applicable healthcare regulations.
- Coordinate internal and external audits and statutory inspections.
- Maintain all mandatory licenses, registrations, and statutory records.
Patient Services
- Monitor patient satisfaction and service quality.
- Address and resolve patient grievances promptly.
- Coordinate with doctors, nursing staff, and support teams to enhance patient care and experience.
Finance & Administration
- Assist in preparing and monitoring departmental budgets.
- Control operational expenses while maintaining service quality.
- Coordinate billing, revenue cycle management, and administrative documentation.
- Verify vendor bills and procurement records.
Procurement & Inventory
- Coordinate procurement of medical and non-medical supplies.
- Ensure effective inventory management and stock availability.
- Monitor Annual Maintenance Contracts (AMC) and preventive maintenance schedules.
Facility Management
- Supervise housekeeping, laundry, security, transportation, cafeteria, and maintenance services.
- Ensure uninterrupted utilities such as electricity, water supply, HVAC systems, generators, lifts, and medical gas systems.
- Maintain hospital infrastructure, cleanliness, and safety standards.
Safety & Risk Management
- Ensure implementation of infection prevention and control protocols.
- Conduct fire safety drills and disaster management exercises.
- Investigate incidents and implement corrective and preventive actions.
Documentation & Reporting
- Prepare daily, weekly, and monthly operational reports.
- Monitor departmental Key Performance Indicators (KPIs).
- Present operational performance reports to senior management.
- Maintain accurate administrative records and documentation.
Qualifications
- MBA in Hospital Administration / Healthcare Management
- Master of Hospital Administration (MHA)
- Bachelor of Hospital Administration (BHA) with relevant managerial experience
- Master's Degree in Healthcare Management or an equivalent qualification
Experience
- 5–7 years of relevant experience in hospital administration, preferably in a multi-specialty hospital, corporate healthcare organization, or NABH-accredited healthcare facility.
- Proven experience in hospital operations, patient services, facility management, statutory compliance, budgeting, and team management.
- Experience in NABH accreditation processes, Hospital Information Systems (HIS), vendor management, and quality management will be an added advantage.
- Prior managerial or supervisory experience is mandatory.
