About the Role
This is a high-ownership operations role at the core of a fast-growing export business. Working directly with the founder, you will manage accounts, export documentation, compliance, client coordination, and operational execution. The role is ideal for an organized, detail-oriented professional capable of independently managing business-critical workflows and building our operational backbone.
Key Responsibilities
1. Accounts & Finance
- Maintain books of accounts in Zoho Books (invoices, receipts, expenses, and bank reconciliation).
- Coordinate with the CA for GST filings, TDS returns, audits, and compliance submissions.
- Track receivables and follow up professionally with domestic and international clients.
- Coordinate foreign remittances and FIRC issuance with banking partners.
- Maintain eBRC documentation and support RoDTEP coordination.
- Prepare monthly MIS reports including P&L and cash flow snapshots.
2. Export Operations & Compliance
- Prepare and maintain export documentation (Commercial invoices, Packing lists, Shipping bills, Certificates of Origin, COA, etc.).
- Coordinate shipments with freight forwarders and courier partners (DHL, FedEx, etc.).
- Track AWBs, delivery status, and handle shipment exceptions.
- Manage DGFT-related activities including IEC, LUT renewals, and export compliance.
- Maintain dispatch trackers, payment trackers, and order status sheets.
3. Client & Internal Coordination
- Maintain CRM hygiene in Zoho CRM.
- Support quotation preparation and order confirmation workflows.
- Coordinate internally with technical and dispatch teams to ensure timely execution.
- Handle client communication regarding order status, dispatch, and documentation.
4. Administrative Support
- Coordinate international travel, conference registrations, visas, hotels, and itineraries.
- Maintain contracts, NDAs, certifications, and operational documentation.
- Support operational execution for international pharma conferences across APAC and Europe.
Requirements
- Experience: 1–3 years of experience in accounts, export operations, finance coordination, or a similar role.
- Technical Skills: Working knowledge of GST, TDS, export invoicing, and basic compliance processes. Comfortable using Zoho Books, Tally, Excel, or equivalent tools.
- Communication: Strong written English and professional communication skills.
- Traits: Highly organized with strong attention to detail, an ownership mindset, and the ability to independently manage tasks.
Good to Have (Preferred)
- Exposure to DGFT, LUT, eBRC, FEMA, or RoDTEP.
- Experience with international documentation or logistics.
- Visa processing and international travel coordination experience.
