The Back Office Executive – Bodyshop is responsible for providing administrative and coordination support for the smooth operation of the bodyshop. The role involves coordinating job-related information, maintaining records, updating system entries, supporting insurance and billing processes, and ensuring proper communication between customers, technicians, service advisors, insurance teams, and management.
Key Responsibilities
1. Bodyshop Job Coordination
- Receive and maintain details of vehicles entering the bodyshop.
- Coordinate with Service Advisors, Technicians, Final Inspectors, and Bodyshop Manager.
- Track vehicle repair status and update the concerned team.
- Monitor pending and completed jobs.
- Ensure timely follow-up on delayed jobs.
2. System & Data Entry
- Enter and update vehicle/job details in the dealership system.
- Maintain accurate records of job cards, estimates, repair status, and delivery details.
- Update insurance claim and repair-related information.
- Prepare daily and monthly reports as required by management.
3. Insurance Coordination
- Assist in maintaining insurance claim documents and records.
- Coordinate with insurance surveyors regarding claim-related requirements.
- Follow up on survey approval, estimate approval, and pending claim matters.
- Maintain records of claim status and communicate updates to the concerned team.
4. Documentation & Records
- Maintain proper records of bodyshop vehicles and job cards.
- Organize documents related to repair, insurance, estimates, approvals, and billing.
- Ensure records are updated and easily accessible when required.
- Support the Bodyshop Manager in maintaining operational records.
5. Customer & Internal Coordination
- Coordinate with customers regarding repair status and required information.
- Communicate updates received from the workshop/insurance team.
- Coordinate between Bodyshop, Service, Accounts, Insurance, and Front Office teams.
- Escalate delays or issues to the Bodyshop Manager.
6. Billing & Delivery Support
- Assist the billing team with necessary job-related information.
- Verify job completion details before billing and delivery.
- Coordinate with the concerned team to ensure vehicles are ready for delivery.
- Support preparation of vehicle delivery-related records.
7. Reporting
- Prepare daily bodyshop status reports.
- Maintain pending vehicle and insurance claim reports.
- Prepare productivity, delivery, and job-status reports as required.
- Provide accurate information to the Bodyshop Manager and management.
Pay: ₹10,000.00 - ₹17,000.00 per month
