About us
Beauty Garage Limited is seeking a proactive and organized Technical Executive to support the Technical, Training, and Sales functions by managing technical product tracking, trainer activities, inventory coordination, reporting, and operational processes.
The ideal candidate should possess strong Excel skills, coordination abilities, inventory management exposure, and the capability to work with multiple stakeholders, including trainers, distributors, sales teams, warehouses, transporters, and internal departments.
Key Responsibilities
1. Technical Product Management
- Maintain and regularly update the Technical Product Tracker with complete product details.
- Monitor product consumption and identify variances.
- Coordinate with relevant teams regarding discrepancies in product usage.
- Ensure data accuracy and timely updates in technical records.
2. Trainer Activity Management
- Maintain Trainers' Daily Activity Reports through Google Sheets.
- Update demo details received from trainers through WhatsApp, including:
- Date
- Time
- Salon Name
- Activity Type
- Address
- Product Consumption
- Share updated reports daily with the Sales and Training teams.
- Follow up with trainers to ensure timely submission of demo details.
3. Distributor & HO Coordination
- Draft and send emails to distributors regarding product requirements for trainers.
- Coordinate with distributors and Head Office teams to ensure product availability.
- Track requests and follow up until closure.
4. Technical FOC Management
- Maintain and update monthly FOC trackers.
- Coordinate with Claims Teams for reimbursement processes.
- Verify products issued under FOC schemes against approved claims.
- Ensure timely submission and reconciliation of FOC data.
5. Trainer Exit & Asset Management
- Coordinate collection of kits from resigned trainers.
- Arrange storage of kits at nearby distributor locations.
- Reallocate available kits to newly joined trainers or Sales Buddies.
- Support HR by sharing information related to Full & Final settlement processes.
6. ID Card & Visiting Card Coordination
- Arrange ID cards and visiting cards for new joiners.
- Coordinate with vendors for printing requirements.
- Follow up for vendor invoices and submit them to the Accounts Team for payment processing.
7. Damage Tools Management
- Maintain records of damaged tools in Excel.
- Coordinate dispatch of replacement tools.
- Arrange return logistics of damaged tools to Head Office.
- Obtain approvals from reporting managers along with photographic evidence.
- Assess returned tools for reuse, academy allocation, or disposal.
8. Inventory Management
- Maintain inventory records for:
- Welcome Kits
- Bags
- Trolley Bags
- T-Shirts
- Hoodies
- Catalogues
- Marketing Materials
- Monitor stock availability and replenish inventory as required.
- Maintain inventory reports and stock movement records.
9. Academy Support
- Arrange products, tools, and consumables required for training sessions.
- Ensure availability of towels, foils, and training accessories.
- Coordinate with internal teams for smooth execution of academy activities.
- Maintain inventory records related to academy stock.
10. Logistics & Transportation Coordination
- Coordinate with transporters for timely deliveries.
- Share shipment tracking details with trainers and sales teams.
- Follow up on delayed shipments and resolve logistics-related concerns.
11. MIS & Reporting
- Prepare Trainers' Daily Morning Reports.
- Coordinate with the MIS Team for report generation.
- Prepare Demo vs Conversion Reports.
- Maintain various operational trackers and Excel-based reports.
- Generate management reports as and when required.
Qualifications
- Bachelor's Degree in Commerce, Business Administration, Supply Chain, or related disciplines.
Experience Required
- 2–4 years of experience in Technical Coordination, Sales Support, Operations, Inventory Management, or Training Administration.
- Experience in the Beauty, Cosmetics, FMCG, or Professional Salon Industry will be preferred.
Skills & Competencies
- Advanced knowledge of Microsoft Excel and Google Sheets.
