Key Responsibilities / Duties
Reception & Front Desk Management
- Greet and welcome visitors, clients, and guests in a warm and professional manner.
- Direct visitors to the appropriate person or department.
- Maintain a clean, organized, and presentable reception area.
- Manage visitor logs / security procedures, issue visitor badges if required.
Telephone / Communication Handling
- Answer, screen, and forward incoming phone calls professionally.
- Take and relay accurate messages.
- Provide basic information or answer general queries via phone, email, or in-person. Appointment & Meeting Coordination
- Manage and schedule appointments, meetings, and conference rooms.
- Communicate with internal departments to confirm meeting logistics.
Administrative Support
- Receive, sort, and distribute incoming mail and packages.
- Maintain office supplies: monitor inventory and re-order when needed.
- Perform clerical tasks: filing, photocopying, scanning, data entry, etc.
- Use office equipment (printer, fax, computer) efficiently.
- Security & Access Control
- Monitor and control access to the office / building per security protocols.
- Report any suspicious activity or emergencies according to company procedures. Other Responsibilities
- Assist with ad-hoc tasks and projects as assigned by management. Swooped

Qualifications / Experience
- Proven work experience as a Receptionist, Front Office Executive, or similar administrative role.
- High school diploma; additional education or certification (e.g., in Office Management) is a plus.
- Proficiency in MS Office (Word, Excel, Outlook) and basic computer skills.
- Experience with office equipment (fax, printer, photocopier).
