Sales Support Executive

About the Role
Kataline Limited is looking for a proactive and detail-oriented Sales Support Executive to support our sales operations. The ideal candidate will coordinate with internal teams, manage sales documentation, interact with clients, maintain dashboards, and ensure smooth order processing and dispatch planning. Experience with SAP and strong Excel skills will be an added advantage.
Key ResponsibilitiesSales Dashboard & Reporting
- Create and maintain retail sales dashboards.
- Prepare and share daily sales reports with the management team.
- Generate sales-related MIS reports and maintain accurate records.
Client Coordination
- Handle daily client communication for pre-sales and post-sales activities.
- Resolve customer queries and ensure timely support.
- Build and maintain strong client relationships.
Sales Operations
- Coordinate with the sales team regarding new orders and payment follow-ups.
- Prepare and update dispatch plans based on confirmed orders and payment status.
- Monitor sales orders to ensure timely execution.
Documentation & Invoicing
- Prepare and send Proforma Invoices (PI) to retail clients.
- Verify payment confirmations with the Accounts Department before dispatch.
- Collect Purchase Orders (PO) and Sales Orders (SO) from the sales team.
- Verify project-wise pricing and coordinate for revised orders when required.
- Ensure all dispatch documentation is complete and accurate.
SAP Management
- Create and maintain Party Codes, City Masters, and Sales Orders in SAP.
- Coordinate with the SAP team to establish efficient sales processes.
- Support SAP implementation related to sales operations and reporting.
Tender & Source Approval Documentation
- Prepare and send Source Approval documents to clients.
- Prepare tender-related documents such as:
- Pre-Qualification (PQ) Documents
- Warranty Certificates
- Authorization Certificates
- Assemble and dispatch Source Approval files to clients.
Internal Coordination
- Coordinate with the factory for dispatch of samples, MTCs, brochures, and other documents.
- Work closely with the Quality Department to resolve customer complaints.
- Ensure smooth communication between Sales, Accounts, Factory, and Quality teams.
Vendor Registration & Record Management
- Manage vendor registration processes with clients.
- Maintain quotation records and filing systems.
- Organize and update sales documentation.
Required Qualifications
- Bachelor's Degree in Business Administration, Commerce, Sales, Marketing, or a related field.
- Proficiency in SAP and Microsoft Office (Excel, Word, Outlook).
- Strong communication, coordination, and organizational skills.
- Good analytical and problem-solving abilities.
- Ability to manage multiple tasks and work under deadlines.
Preferred Experience
- 1–4 years of experience in Sales Support, Sales Coordination, Customer Service, Back Office Operations, or a similar role.
- Experience in manufacturing, industrial products, construction materials, or infrastructure industries will be preferred.
