Role Overview
The Sales Coordinator plays a vital role in supporting the sales team by ensuring smooth coordination between clients and internal departments. This role is responsible for managing quotations, order processing, follow-ups, documentation, and project coordination while ensuring timely execution and superior customer service.
The ideal candidate should be highly organized, detail-oriented, proactive, and capable of managing multiple projects simultaneously in a fast-paced environment.
Key Responsibilities
Sales Support
- Assist the sales team in preparing quotations, proposals, presentations, and product information.
- Coordinate with Business Development Executives to ensure timely submission of client requirements.
- Maintain and update customer records, sales reports, and order details.
Client Coordination
- Act as a single point of contact for clients during the order execution process.
- Respond to client queries promptly and provide regular updates on project status.
- Ensure effective communication between clients and internal teams.
Order Management
- Process sales orders accurately and ensure all client requirements are documented.
- Coordinate with Sourcing, Design, Operations, Logistics, and Accounts teams for timely execution.
- Track project timelines and proactively resolve coordination issues.
- Ensure timely dispatch and delivery of orders.
Internal Coordination
- Follow up with internal departments to ensure deadlines are met.
- Coordinate product approvals, artwork approvals, sample dispatches, and production updates.
- Escalate delays or execution challenges to the reporting manager.
Documentation & Reporting
- Maintain proper documentation of quotations, purchase orders, approvals, invoices, and client communications.
- Prepare daily, weekly, and monthly sales coordination reports.
- Ensure accurate data entry and CRM updates.
Payment & Collection Support
- Coordinate with clients and the Accounts team for purchase orders, invoices, payment follow-ups, and outstanding collections.
- Ensure documentation required for billing is complete and accurate.
Key Result Areas (KRAs)
- Timely preparation of quotations and sales documentation.
- Accuracy in order processing and documentation.
- On-time coordination and execution of client orders.
- Client satisfaction through proactive communication.
- Timely follow-up on approvals, production, dispatch, and deliveries.
- Effective coordination with cross-functional teams.
- Accuracy of sales records and CRM updates.
- Support in achieving departmental turnaround time (TAT) targets.

Qualifications
- Bachelor's degree in Commerce, Business Administration, Management, or a related field.
Experience
- 2–3 years of experience in Sales Coordination, Sales Support, Customer Service, Operations Coordination, or Order Management.
- Experience in handling B2B clients and supporting a sales team will be preferred.
- Experience in coordinating multiple stakeholders and managing order execution is an advantage.

Pay: ₹25,000.00 - ₹40,000.00 per month
