Job Summary
We are seeking a highly organized, discreet, and proactive Personal Secretary to provide comprehensive administrative and personal support to senior leadership. The ideal candidate will manage schedules, coordinate communications, handle confidential information, and ensure the smooth execution of both professional and personal commitments.
Key ResponsibilitiesAdministrative Support
- Manage calendars, appointments, meetings, and travel arrangements.
- Screen calls, emails, and correspondence, responding or escalating as appropriate.
- Prepare reports, presentations, meeting agendas, and documentation.
- Maintain organized filing systems and records.
Communication & Coordination
- Act as the primary point of contact between the executive and internal/external stakeholders.
- Coordinate meetings, events, and business engagements.
- Follow up on pending tasks and ensure deadlines are met.
- Draft professional correspondence and communications.
Personal Assistance
- Assist with personal scheduling, appointments, and errands when required.
- Coordinate family, social, and personal commitments.
- Manage travel itineraries, hotel bookings, and transportation arrangements.
- Handle confidential and sensitive matters with discretion.
Office Management
- Organize office operations and administrative processes.
- Liaise with vendors, service providers, and support staff.
- Monitor office supplies and administrative requirements.
Required Qualifications
- Bachelor's degree in Business Administration, Management, Communications, or a related field (preferred).
- 2–5 years of experience as a Personal Secretary, Executive Assistant, or Administrative Assistant.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace.
- Excellent verbal and written communication skills.
- Strong organizational and time-management abilities.
