Job Description
We are looking for a detail-oriented Export Documentation Executive with 1–2 years of experience in export documentation, preferably in the solvent, chemical, or allied industry. The ideal candidate should have hands-on experience in preparing and managing export documents, ensuring compliance with international trade regulations, and coordinating with internal teams, Customs House Agents (CHA), freight forwarders, banks, and customers for smooth execution of export shipments.
Key Responsibilities
- Prepare and verify export documentation, including Commercial Invoice, Packing List, Shipping Bill, Bill of Lading, Certificate of Origin, Insurance Certificate, and other statutory documents.
- Ensure timely preparation and submission of export documents to customers, banks, CHA, freight forwarders, and other stakeholders.
- Coordinate with Customs House Agents (CHA) and freight forwarders for documentation requirements and shipment processing.
- Review export documentation to ensure accuracy and compliance with customs, DGFT, and international trade regulations.
- Coordinate with the sales, logistics, warehouse, and accounts teams to obtain necessary information for documentation.
- Maintain accurate records of export documents and shipment files for audit and compliance purposes.
- Track documentation timelines to ensure timely shipment execution and document dispatch.
- Assist in resolving documentation-related discrepancies with customers, banks, shipping lines, and logistics partners.
- Support preparation of reports related to export documentation and shipment status.
Required Qualifications
- Bachelor's degree in Commerce, Business Administration, Logistics, or a related field.
- 1–2 years of experience in export documentation.
- Experience in the solvent, chemical, or allied industry is preferred.
- Good knowledge of export documentation, customs procedures, and international trade practices.
- Familiarity with Letter of Credit (LC) documentation and bank documentation will be an added advantage.
- Proficiency in MS Excel, MS Word, and Outlook.
- Experience with ERP software is preferred.
