We are working with reputed organizations across industries. This opportunity is with one of our esteemed clients in the logistics sector, a leading international logistics and freight forwarding company, for the role of Executive Secretary.
This position requires a highly organized, proactive, and detail-oriented professional to provide seamless administrative and executive support to senior leadership in a fast-paced business environment.
1. Key Responsibilities:
a. Executive Support:
i. Manage calendars, appointments, and meeting schedules for senior leadership
ii. Coordinate meetings, prepare agendas, presentations, and minutes
iii. Handle correspondence (emails, calls, documentation) professionally
iv. Screen calls and visitors, ensuring effective prioritization
v. Prepare reports, MIS, presentations, and executive
b. Administrative Management:
i. Oversee day-to-day office administration
ii. Coordinate with vendors and manage office supplies & facilities
iii. Maintain documentation and filing systems (physical & digital)
iv. Handle domestic and international travel arrangements (tickets, visas, itineraries)
v. Process expense reports, reimbursements, and budgets
vi. Support events, meetings, and client visits
c. Coordination & Communication:
i. Act as a liaison between senior leadership and internal teams
ii. Coordinate with external stakeholders (clients, vendors, partners)
iii. Ensure timely follow-ups on action items
iv. Support cross-functional communication
d. Confidentiality & Compliance:
i. Maintain strict confidentiality of sensitive information
ii. Ensure adherence to company policies and governance standards
2. Education, Experience & Skills:
a. Bachelor’s degree in business administration or related field
b. 5 to 10 years of experience as an Executive Secretary / Executive Assistant
c. Experience supporting senior leadership is essential
d. Logistics or supply chain exposure is a plus
e. Strong communication and interpersonal skills
f. Excellent organizational and multitasking ability
g. High level of professionalism and discretion
h. Proficiency in MS Office (Word, Excel, PowerPoint, Outlook)
