Job SummaryWe are seeking a detail-oriented and proactive Store Executive to oversee day-to-day warehouse operations, manage material tracking, and ensure immaculate inventory accuracy. The ideal candidate will seamlessly handle digital documentation in our ERP system while maintaining physical workplace efficiency and safety standards.
Key Responsibilities
- Material Inward & Outward: Verify incoming shipments against Purchase Orders (PO) and supplier packing lists.
- System Documentation: Prepare Goods Receipt Notes (GRN), Material Receipt Notes (MRN), and Gate Passes in the ERP system.
- Quality & Discrepancy Reporting: Inspect arrivals for physical damage and generate Non-Conformance Reports (NCR) for variations in quantity or quality
- Inventory Control: Track and maintain minimum, maximum, and safety buffer stock levels to actively prevent stockouts.
- Stock Auditing: Lead regular physical stock verification, cycle counts, and reconcile manual records against system databases.
- Warehouse Upkeep: Supervise correct material allocation using FIFO/FEFO methods and enforce strict 5S storage standards
- Cross-Departmental Coordination: Sync with procurement, production, quality assurance, and accounts teams for seamless material flow and invoice clearances.
Required Skills & Qualifications
- Education: Bachelor’s degree in any stream, Diploma in Material Management, or equivalent.
- Experience: 1 to 4 years of proven hands-on experience in storekeeping, inventory control, or logistics.
- Software Competency: Proficiency in SAP (MM Module), Tally ERP, or Zoho Inventory along with strong Microsoft Excel capabilities.
- Technical Knowledge: Strong understanding of supply chain logistics, inventory metrics, and billing documentation.
- Traits: Sharp attention to factual detail, high organizational skills, and clear communication capabilities

- Strict Storage Regulations: Managing Cold Chain networks (2°C to 8°C) for vaccines, life-saving drugs, and lab reagents to prevent degradation.Key Responsibilities (Hospital-Specific)
- Emergency Buffer Oversight: Tracking and maintaining inventory safety margins for critical items like oxygen cylinders, ICU consumables, and surgical suture kits.
- Clinical Department Dispatch: Routinely distributing medical consumables, linens, and devices to Operation Theatres (OT), Emergency ER bays, and outpatient clinics.
- Sterility Inspections: Verifying incoming materials for vacuum seal integrity, clean batch records, and undamaged protective packaging.
- HIS & ERP Integration: Logging internal tracking transactions into specialized Hospital Information Systems (HIS) or customized SAP Material Management networks.
Preferred Profile & Qualifications
- Background: Often prefers candidates with a B.Pharm, B.Sc, or a Diploma in Material Management with healthcare exposure.
- Technical Skills: Familiarity with clinical naming conventions, medical item codes, and hazardous substance management.
- Experience: Prior experience handling vendor invoicing for pharmaceutical distributors and surgical device companies.
- Meticulous Expiry Management: Prioritizing FEFO (First Expiry, First Out) over basic FIFO to guarantee zero expired products reach patient wards.
- Controlled Substance Tracking: Safeguarding high-risk schedules, narcotics, and specialized implants using locked storerooms and double-signature verification logs.
- Accreditation Readiness: Maintaining inventory standards that consistently comply with medical audits such as NABH or JCI guidelines.
