Job Title: Admin Assistant - Europe
Location: Preferably Delhi (Hybrid/Remote/Office – must report to office at least once a week)

Position Overview: This role primarily provides any required administrative support to the Sewa country unit team. The candidate must be comfortable working in alignment with European time zones (approximately 4–5 hours behind IST) and should have the flexibility to work late hours, if required. The position also requires the ability to travel occasionally and report to the office at least once a week, in accordance with Sewa Bridge's work policy.
Key Responsibilities:
- Handling administrative requests and queries from core team members.
- Organize and schedule meetings, and take detailed minutes.
- Develop and maintain a filing system for data and information regarding projects, meeting minutes, etc. Maintain accurate and up-to-date records.
- Follow-up on various action items and track them to completion.
- Coordination with sponsored project PoCs for updates and reports.
- Maintain contact lists - Donors, collaborators, vendors, suppliers, other stakeholders as per requirement. Act as the point of contact and manage communications as per requirements.
- Assist in the preparation of regularly scheduled reports and their distribution as required. Create presentations as assigned.
- Take care of travel arrangements and general support, for visits to projects in India.
Additional:
- Help in the management of the Sewa unit’s social media handles and grant applications.
Eligibility and Requirements:
- Preferred experience in NGO and Sewa Work
- Graduate degree in any discipline; proven experience in the non-profit sector and as an Administrative Assistant or Secretary will be a plus
- Proficiency in MS Office (MS Word, Excel and MS PowerPoint in particular)
- Knowledge of online calendars and scheduling
- Excellent phone, email and instant messaging communication skills
- Excellent time management skills and the ability to prioritize work
- Excellent written and verbal communication skills
- Attention to detail and ability to multi-task
- Must be fluent in English; knowledge of spoken Hindi will be an added advantage
- Willingness to travel when required
- Ability to report to the office at least once a week
- Comfortable working in European timings (approx. 4–5 hours behind IST)
- Flexibility to attend remote meetings as needed, including late hours
Salary:
INR 30,000–40,000 per month (inclusive of all applicable benefits offered by Sewa Bridge)
Work Schedule:
- Workdays: Monday to Friday, + 2 Saturdays per month
- Weekly Off: All Sundays
- Flexibility required to be available for remote meetings as per need
Contract:
1-year contract with probationary review 6 months after joining
