Job Description – Project Admin Lead/Executive (Substation and Transmission Line Projects)
Position: Project Admin Lead/Executive
Location: -Project Site
Key Responsibilities

Manage and coordinate all administrative activities related to Transmission Line (TL) project sites, ensuring smooth day-to-day operations.

Vehicle Management
-
Arrange and manage two-wheelers, four-wheelers, and hired vehicles as per project requirements.

Obtain quotations, conduct comparative analysis, finalize vendor agreements, and process of vendor code opening & PRs
-
Monitor vehicle utilization, documentation, and monthly billing activities.

Guest House & Accommodation Management
-
Identify and arrange suitable guest house accommodations for project staff and visitors.
-
Negotiate and manage rental agreements, renewals, closures, and security deposit settlements.

Security Management
-
Coordinate with security agencies for deployment of security personnel at project sites.

Manage vendor selection, contract execution, billing, and compliance with statutory wage requirements.

Conduct site vigilance checks, monitor security arrangements, and coordinate theft/loss investigations when required.

Housekeeping & Facility Management
-
Ensure proper housekeeping, cleanliness, and hygiene standards at project offices, camps, and client locations.

Coordinate facility maintenance and upkeep activities.
-
Site Office Administration
-
Manage office infrastructure, stationery, printing, communication facilities, and consumables.

Arrange refreshments and hospitality services for employees, clients, and visitors.

Support project teams with day-to-day administrative requirements.

Statutory Compliance & Labour Administration
-
Facilitate onboarding of contract workers and maintain employee records.
-
Ensure compliance with applicable labour laws, including Contract Labour Act, Minimum Wages Act, Payment of Wages Act, BOCW Act, EPF Act, ESI Act, Payment of Bonus Act, and Workmen Compensation Act.

Coordinate obtaining and renewal of Labour Licenses, BOCW registrations, and other statutory approvals.

Maintain statutory registers and submit periodic returns as required by regulatory authorities.

Labour Welfare
-
Ensure availability of welfare facilities such as drinking water, sanitation, rest areas, first-aid, and meal arrangements at project sites.
-
Monitor compliance with labour welfare standards and statutory requirements.
-
Vendor & Asset Management
-
Coordinate with service providers and vendors for administrative support services.
-
Maintain records of site assets, equipment, and office inventories.
-
Documentation & Reporting
-
Maintain project administration records, agreements, bills, compliance documents, and MIS reports.
-
Prepare periodic administrative reports and support audits and inspections.
Work Experience
Desired Qualifications & Skills
-
Graduate/Postgraduate in any discipline.
-
7-12 years of experience in project administration, preferably in Transmission Line, Power Transmission, Infrastructure, EPC, or Construction projects.
-
Strong knowledge of labour laws and statutory compliance requirements.
-
Good communication, coordination, and vendor management skills.
-
Proficiency in MS Office (Excel, Word, PowerPoint).
-
Ability to work independently at remote project locations.
-
Liaising and maintaining effective coordination with local stakeholders, community representatives, and authorities to support smooth project execution, and addressing site-level administrative issues.
-
Knowledge of Kannada will be an added advantage.
