We are seeking an organized and detail-oriented Administration Executive to handle day-to-day office and facility operations support HR and compliance activities, and manage export sales coordination, logistics documentation, and import costing. The role requires strong coordination skills, attention to detail, and the ability to work with multiple internal teams, vendors, and clients.
Key Responsibilities:
Administration & Operations
- Office Administration: Supervise daily operations, maintain facility cleanliness, monitor biometric attendance, and manage the procurement of office supplies.
- Facility & Vendor Management: Coordinate utility bills, building maintenance, and manage Annual Maintenance Contracts (AMCs) with vendors.
- Compliance & HR Support: Assist with insurance renewals, compliance documentation, recruitment coordination, and employee onboarding paperwork.
- Export Logistics Coordination: Gather manufacturer rates, prepare export costing sheets, issue Proforma Invoices (PI), and draft shipping documentation.
- Import Costing: Calculate accurate import costs for international brands based on management guidelines.
Required Qualifications:
- Education: Bachelor’s degree in Business Administration, Operations, Supply Chain, or a related field.
- Experience: 2 to 4 years of proven experience in office administration, operations, or export sales coordination.
- Technical Skills: High proficiency in MS Office (especially Excel and Word).
- Core Competencies: Strong verbal and written communication, multitasking abilities, and exceptional attention to detail.
- Preferred Skills: Prior exposure to export/import documentation and vendor contract management is highly advantageous.
