The Academic Officer is responsible for the day-to-day management and operational delivery of academic administration and student support functions for Birkbeck India. The role oversees the end-to-end student academic journey, ensuring efficient course registration, accurate record maintenance, high service standards, compliance with institutional academic policies, and a seamless student experience.
The role leads and supports the academic administration team, monitors student progression and engagement performance, manages operational workflows (such as assessments and timetabling), and works closely with internal stakeholders and faculty to achieve retention targets while maintaining high standards of quality and compliance.
Key Responsibilities:
1. Operational Delivery & Workflow Management
- Oversee day-to-day academic administration, including student registration, enrollment verification, timetabling, and classroom allocation.
- Manage the end-to-end examination and assessment process, ensuring secure handling of papers, coordination of invigilators, and timely publication of results.
- Maintain accurate, up-to-date student records and databases in compliance with data protection policies.
2. Team Leadership & Support
- Lead, mentor, and support a team of academic administration staff, fostering a collaborative and high-performance culture.
- Manage daily workflows, allocate tasks effectively, and conduct regular performance reviews for team members.
- Identify training needs within the team to ensure consistent service delivery and professional growth.
3. Student Support & Experience
- Serve as a key escalation point for complex student queries regarding academic regulations, progressions, and special considerations (e.g., extenuating circumstances).
- Implement initiatives to enhance the overall student experience, ensuring a welcoming, responsive, and supportive environment.
- Monitor student engagement and attendance, proactively identifying and supporting at-risk students to boost retention.
4. Policy, Quality, & Compliance
- Ensure all academic processes strictly adhere to Birkbeck India’s institutional policies, regulatory frameworks, and quality assurance standards.
- Assist in preparing for internal and external academic audits and reviews.
- Provide regular reports and data analysis on student progression, retention, and graduation rates to senior management.
5. Stakeholder Collaboration
- Work closely with faculty, department heads, and the Admissions team to ensure smooth transitions from enrollment to active study.
- Collaborate with central IT and systems teams to continuously improve the Student Information System (SIS) and academic portals.
Qualifications & Experience Education
- A Bachelor’s degree in Business Administration, Education Management, or a related field (A Master’s degree is preferred).
Experience
- 3–5 years of experience in academic administration, student services, or a registry function within higher education.
- Proven experience in leading, managing, or supervising a small-to-medium team.
- Deep understanding of academic cycles, assessment regulations, and student record systems.
Skills & Competencies
- Leadership: Strong ability to motivate, guide, and develop a team.
- Organization: Exceptional workflow management skills with the ability to handle peak periods (e.g., exam and registration seasons) calmly.
- Communication: Excellent written and verbal communication skills for interacting with students, faculty, and senior leadership.
- Data Literacy: Proficient in using Student Information Systems (SIS) and Microsoft Office Suite (especially Excel) for data tracking and reporting.
Pay: ₹30,000.00 - ₹60,000.00 per month
