The Team Coordinator will be responsible for coordinating daily operations, managing customer orders, scheduling service appointments, assigning teams based on their locations, maintaining operational records, and ensuring that all equipment and vehicles are in proper working condition. The ideal candidate should possess excellent communication, organizational, and multitasking skills.
Key Responsibilities
Customer & Order Management
- Receive and attend customer calls and inquiries professionally.
- Record new enquiries and convert them into scheduled service orders.
- Coordinate with customers regarding booking confirmations, timings, and service updates.
- Maintain a high level of customer satisfaction through prompt communication.
Scheduling & Team Coordination
- Plan and schedule daily cleaning orders efficiently.
- Assign jobs to field teams based on their availability and geographical location.
- Monitor team movements and ensure timely completion of assigned jobs.
- Coordinate with technicians to resolve scheduling conflicts and operational issues.
Equipment & Vehicle Inspection
- Conduct routine inspections of cleaning machines, tools, safety equipment, and company vehicles.
- Ensure all equipment is properly maintained and ready for daily operations.
- Report any damage, malfunction, servicing requirements, or replacement needs to management.
- Maintain inspection records and follow up on repairs.
Documentation & Reporting
Prepare and maintain accurate operational records, including:
- Work Book (Daily completed jobs)
- Order Book
- Enquiry Book
- Fuel Log Book
- Vehicle Movement Records
- Equipment Inspection Reports
- Daily Attendance & Team Allocation Records
- Daily Operations Summary Report
Administrative Responsibilities
- Ensure all service records are updated accurately.
- Maintain proper filing of operational documents.
- Assist management in tracking daily productivity and operational performance.
- Support process improvements to increase operational efficiency.
Required Skills & Qualifications
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Knowledge of Microsoft Excel, Google Sheets, and basic computer applications.
- Ability to work under pressure and manage multiple tasks simultaneously.
- Strong problem-solving and decision-making skills.
