We are currently seeking a proactive and detail-orientated Booking Coordinator to join our growing remote team.
Position Overview
As a booking coordinator, you will be responsible for managing translation and interpreting requests from enquiry through to successful completion. You will act as the primary point of contact for clients while coordinating assignments with our network of freelance linguists.
This role is ideal for someone who enjoys customer interaction, problem-solving, organisation, and working in a fast-paced environment.
Key Responsibilities: Client Management
- Respond promptly and professionally to client enquiries via email, telephone, website, and client portal
- Understand client requirements and recommend suitable language solutions
- Build strong relationships with clients and maintain a high level of customer satisfaction
Booking & Project Coordination
- Source suitable translators and interpreters based on language combination, subject expertise, availability, and location
- Obtain pricing and availability from linguists
- Prepare quotations and proposals through our management platform
- Follow up on quotations and convert enquiries into confirmed bookings
- Schedule and coordinate interpreting assignments and translation projects
- Monitor project progress and ensure deadlines are met
Quality & Delivery
- Review completed assignments for completeness and compliance with client requirements
- Prepare certified translations for delivery
- Coordinate printing, certification, postage, and courier dispatch where required
- Escalate any quality or delivery concerns promptly
Administration
- Maintain accurate records of bookings, communications, and project documentation
- Update CRM and project management systems
- Assist with invoicing and payment tracking
- Support continuous improvement of operational processes
RequirementsEssential
- Excellent spoken and written English
- Strong organisational and multitasking abilities
- High attention to detail
- Strong customer service mindset
- Ability to work independently in a remote environment
- Comfortable using Microsoft Office, email systems, and online platforms
- Reliable internet connection and dedicated workspace
Desirable
- Previous experience in customer service, administration, recruitment, scheduling, or coordination roles
- Experience within translation, interpreting, localisation, or language services industry
- Familiarity with CRM systems and project management tools
- Experience working with international clients
Working Hours
- Full-time remote position
- Monday to Friday
- Working hours aligned with US business operations (Eastern Time)
- Flexibility may occasionally be required to accommodate client needs and project deadlines
