Job Summary:
We are seeking a highly organized and detail-oriented Export Documentation & Admin Executive to manage import/export documentation, shipment coordination, and administrative activities. The candidate will be responsible for ensuring smooth documentation processes for domestic and international shipments while supporting daily office administration tasks.
Key Responsibilities:Export Documentation:
- Prepare and verify export documents such as:
- Commercial Invoice
- Packing List
- Tax Invoice
- Shipping Labels
- Airway Bills (AWB)
- Certificate of Origin
- SCOMET documentation (if required)
- Other customer-specific export documents
- Coordinate with courier and logistics partners such as FedEx, UPS, and freight forwarders.
- Track domestic and international shipments and provide shipment updates.
- Coordinate for customs clearance documentation when required.
Import Documentation:
- Handle import-related paperwork.
- Coordinate with suppliers, freight forwarders, and logistics partners.
- Maintain records for imports and incoming shipments.
Administrative Responsibilities:
- Maintain physical and digital records of all documents.
- Handle office administration tasks and coordination.
- Prepare Excel reports and maintain shipment trackers.
- Coordinate with internal departments such as:
- Accounts
- Production
- Purchase
- Store
- Logistics
- Vendor follow-ups and document collection.
- Manage courier bookings and office communication.
Required Skills:
- Knowledge of import/export documentation
- Understanding of logistics and shipping procedures
- Good communication skills
- Strong knowledge of MS Excel, Word, and email communication
- Good organizational and documentation skills
- Attention to detail
Qualification:
- Any Graduate (B.Com / BBA / MBA / Any relevant degree)
Experience:
- 1 to 4 years experience in export documentation, logistics coordination, or administrative roles preferred.
Additional Requirement:
- Candidate must be willing to work from Maheshwaram, Hyderabad
- Candidates who are ready to relocate to Maheshwaram will be preferred.
- Immediate joiners are preferred.
