Job Description – Front Office Executive

Position Summary
The Front Office Executive is responsible for ensuring smooth day-to-day front office operations and delivering an exceptional experience to employees, visitors, and stakeholders. The role requires effective coordination with internal teams, support for administrative and recruitment activities, management of operational systems, reporting, facility coordination, and maintaining compliance with organizational processes and service standards.
Key Responsibilities
Front Office & Visitor Management
Manage reception and front office operations efficiently.
Welcome and assist visitors, stakeholders and employees in a professional manner.
Ensure a seamless visitor experience while maintaining security and operational protocols.
Employee Support & Communication
Respond to employee queries received through phone, email and other communication channels.
Coordinate with internal departments, including Legal and HR teams to ensure timely resolution of employee concerns.
Act as a key point of contact for day-to-day employee support requirements.
Recruitment & Onboarding Support
Support recruitment activities in collaboration with Hiring Managers and the Talent Acquisition team.
Assist in coordinating interviews, recruitment drives and hiring-related activities.
Facilitate onboarding and induction programs for new employees to ensure a smooth joining experience.
Reporting & Data Management
Prepare and maintain daily, weekly and monthly operational reports and presentations for leadership teams.
Update and manage operational data in Power BI.
Generate and analyze reports from platforms such as ServiceNow, Workday and other organizational tools.
Ensure data accuracy, completeness and timely reporting.
ServiceNow & Workday Administration
Manage end-to-end ServiceNow tickets for both India and Global operations.
Support employee profile management, contract extensions and employee-related queries through Workday.
Ensure timely resolution and closure of tickets in line with defined service levels.
Facilities & Operations Support
Coordinate cafeteria operations, vendor interactions, audits, and quality checks.
Assist with menu planning and ensure service quality standards are maintained.
Support space management activities and update occupancy records in TRIRIGA.
Coordinate facility-related requirements and operational support activities.
Operational & Administrative Support
Provide support during emergency situations, medical incidents and business continuity activities.
Assist with weekend operations, stakeholder visits, events, and special requirements.
Collaborate with cross-functional teams to ensure smooth execution of operational activities.
Required Skills & Competencies
Strong communication and interpersonal skills.
Excellent customer service and stakeholder management abilities.
Proficiency in Microsoft Office Suite, Power BI, ServiceNow, and Workday.
Strong analytical, reporting and data management skills.
Ability to multitask and manage priorities in a fast-paced environment.
Strong organizational skills and attention to detail.
Problem-solving mindset with a proactive approach to operational challenges.
Preferred Qualifications
Bachelor's degree, Hospitality or a related field.
Experience in front office administration, facilities management, employee services, or workplace operations.
Familiarity with enterprise tools such as ServiceNow, Workday and Power BI.
