Description
We are seeking a highly organized, detail-oriented, and proactive Operations & Accounts Executive to manage the backbone of our growing premium lighting firm. In this multifaceted role, you will be the central hub of our business—ensuring our financial records are flawless, our office runs smoothly, and our high-end inventory is meticulously tracked.
The ideal candidate thrives in an autonomous environment, possesses strong numbers acumen, and can seamlessly switch between bookkeeping, administrative tasks, and coordinating stock movements.
Key Responsibilities
1. Accounts & Financial Management (End-to-End)
Maintain accurate day-to-day bookkeeping, ledger entries, and accounts receivable/payable.
Generate client invoices, track outstanding payments, and follow up with customers politely but firmly.
Manage vendor payments, verify purchase bills, and handle monthly bank reconciliations.
Coordinate with the company’s external Chartered Accountant (CA) for smooth GST filings, tax compliance, and end-of-year audits.
2. Inventory & Stock Coordination
Maintain a real-time, accurate log of all incoming stock, outgoing product shipments, and project allocations.
Monitor stock levels of high-moving items and flag reorder points before items run out.
Coordinate logistics, tracking shipments from manufacturing partners/vendors to our storage and active project sites.
Conduct periodic physical inventory checks to reconcile actual stock against system records.
3. Office Administration
Manage daily office operations, including handling correspondence, maintaining physical and digital files, and ordering office supplies.
Serve as the internal point of contact for the sales and technical teams regarding order processing and stock availability.
Assist in preparing basic documentation, quotes, or letters for corporate clients and architects.
Handling accounts, admin, or inventory—ideally within a retail, interior product, trading, or small manufacturing firm.
Software Proficiency: Strong working knowledge of accounting software (such as Tally Prime, Zoho Books, or QuickBooks) and absolute comfort with Microsoft Excel (VLOOKUPs, basic formulas, and clean data formatting).
Organizational Prowess: A natural knack for structure and order. You are someone who notices if a bill is missing or if stock counts are off by a single unit.
Communication: Clear, professional written and verbal communication skills for coordinating with clients, vendors, and internal teams.
