Job Description
Responsible for handling export documentation and coordinating with clients, operations teams, shipping lines, and customs authorities to ensure smooth and timely export customs clearance in compliance with customs regulations and export policies.
Key Responsibilities
- Prepare export checklists and Shipping Bills for sea shipments.
- Verify export documents such as Commercial Invoice, Packing List, and other supporting documents before filing.
- Share shipment checklists and draft details with clients for approval.
- Follow up with clients for pending documents and confirmations.
- Upload documents through E-Sanchit and file Shipping Bills via ICEGATE.
- Handle FIL submission and generate Shipping Bill numbers through customs systems.
- Ensure correct HSN / HS codes, export policies, and duty benefit schemes where applicable.
- Coordinate with CHA clearance teams and field operations for customs filing and shipment processing.
- Prepare and submit Form 13 through ODEX portal and coordinate with shipping lines for documentation.
- Handle VGM (Verified Gross Mass) submission as per shipping line requirements.
- Monitor Shipping Bill status, examination requirements, and (LEO) completion.
- Maintain Daily Status Reports (DSR) and update shipment progress internally.
- Coordinate with shipping lines, transporters, and clients to ensure timely shipment movement.
- Maintain proper documentation records and compliance with export regulations.
Preferred Candidate Profile
- Hands-on experience working with a Custom House Agent (CHA).
- Strong knowledge of the export customs clearance process.
- Experience using ICEGATE, E-Sanchit, ODEX, and shipping line portals.
- Knowledge of HSN codes, export policies, and customs documentation procedures.
- Ability to coordinate effectively with customs officials, operations teams, transporters, and clients.
- Strong communication and follow-up skills to ensure timely clearance and documentation.
Education / Experience
Graduate with experience in export documentation within CHA / Freight Forwarding industry.
