Job Summary
The Shipment Booking Executive is responsible for coordinating and managing domestic and international shipment bookings with freight forwarders, shipping lines, airlines, transporters, and internal stakeholders. The role ensures timely movement of goods, accurate documentation, cost optimization, and compliance with customer requirements and regulatory standards.
Key Responsibilities
- Coordinate shipment bookings for sea, air, road, and multimodal transportation.
- Liaise with freight forwarders, shipping lines, airlines, and transport providers to secure bookings.
- Prepare and submit booking requests based on shipment schedules and customer requirements.
- Monitor booking confirmations, vessel schedules, ETD/ETA, and shipment milestones.
- Coordinate with warehouses, production, procurement, and sales teams to ensure shipment readiness.
- Maintain shipment records in ERP/TMS systems.
- Track shipments and proactively communicate delays or schedule changes to stakeholders.
- Coordinate customs documentation with CHA (Custom House Agents) where applicable.
- Resolve booking-related issues such as rollovers, space shortages, documentation discrepancies, and schedule changes.
- Ensure compliance with company SOPs, customer requirements, and applicable import/export regulations.
- Support continuous improvement initiatives in logistics operations.
Required Qualifications
- Bachelor's Degree in Logistics, Supply Chain Management, Commerce, Business Administration, or a related field.
- Diploma or certification in Shipping & Logistics is an added advantage.
Experience
- 6–8 years of experience in shipment booking, freight forwarding, logistics, or supply chain operations.
- Experience handling international shipments (Air/Sea) is preferred.
- Experience working with freight forwarders, shipping lines, and customs brokers.
Technical Skills
- Knowledge of international shipping processes.
- Understanding of Incoterms (2020).
- Familiarity with export and import documentation.
- Working knowledge of ERP systems (SAP, Oracle, Microsoft Dynamics, or equivalent).
- Experience using Transportation Management Systems (TMS) or logistics portals.
- Proficiency in Microsoft Excel, Word, Outlook, and PowerPoint.
