Job Summary
The Accounts Executive is responsible for handling day-to-day accounting functions, commercial documentation, billing, vendor coordination, and supporting finance operations. The role ensures accurate accounting, smooth commercial transactions, and compliance with company policies and statutory requirements.
Key Responsibilities1. Accounting Operations
- Handle day-to-day accounting entries (sales, purchase, expenses, bank entries).
- Maintain ledgers, journals, and financial records.
- Assist in monthly & yearly closing activities.
- Reconcile bank accounts, vendor accounts, and customer accounts.
- Manage petty cash and ensure proper documentation.
2. Billing & Invoicing
- Prepare sales invoices, delivery challans, and credit/debit notes.
- Ensure correct taxation (GST, TDS, etc.) on invoices.
- Coordinate with sales, logistics, and stores for timely billing.
- Track outstanding payments and follow-up with customers for collections.
3. Commercial Documentation
- Prepare purchase orders, quotations, agreements, and contracts.
- Coordinate with vendors for deliveries, pricing, and documentation.
- Maintain import/export documents (if applicable).
- Ensure accuracy in commercial terms, pricing, and taxes.
4. GST, TDS & Compliance
- Assist with GST filing, TDS filing, and statutory returns.
- Maintain documentation required for audits.
- Support internal and external auditors during audits.
5. Coordination & Reporting
- Liaise with internal departments (sales, production, stores, logistics) for commercial clarity.
- Prepare MIS reports: sales reports, outstanding reports, purchase summaries, etc.
- Escalate discrepancies in invoices, rates, or deliveries.
- Support management with data for budgeting and forecasting.
Key Skills & Competencies
- Strong knowledge of accounting principles
- Understanding of GST, TDS, and statutory compliance
- Proficiency in Tally ERP / SAP / Oracle / Zoho Books
- Good numerical accuracy and attention to detail
- Strong communication and coordination skills
- MS Excel (VLOOKUP, Pivot Tables preferred)
- Ability to meet deadlines and work under pressure
Qualifications & Experience
- Bachelor’s degree in Commerce (B.Com / M.Com / BBA Finance)
- 1–5 years of experience in accounts or commercial roles
- Experience in a manufacturing/trading environment preferred
